**THE ROLE**
Supporting the coordination requirements of a dynamic and fast paced teams, is a hands-on, proactive Team Coordinator position. It is a varied role supporting team requirements including:
- Managing day to day administration activities.
- Collaborate across the teams for the coordination of events
- Identifies continuous improvement opportunities in administration and implements efficiencies
**KEY RESPONSIBILITIES**
- Provide office administration services for relevant team members
- Scheduling meetings
- Coordination and ownership of end-to-end diary management, proactively planning forward to ensure effective preparation and accommodating movements where required.
- Word and PowerPoint creation, printing, general mail activities, management of critical documentation with Team and SharePoint and other general support.
- Ensure invoices are authorised by the appropriate manager and paid promptly.
- Maintain distribution lists.
- Reconciliation of Corporate Card records and expense claims
- Provide support for team induction, onboarding and offboarding
- Proactively manage team travel, expenses, and ad-hoc invoice processing
- Providing any overflow support to other Team Coordinators and Executive Assistants as required
- Support with preparation for key meetings and required papers
- Assist with the review and maintenance of team sites
- Proactively identify administrative continuous improvement opportunities and implement efficiencies
- Supports with team engagement commitments
- Support the management of internal and external events such as community initiatives, Our Place Events etc.
- Event management, Townhalls, executive leadership meetings, and external visitor and executive visits.
- Providing direct support to leader for ad hoc requirements and critical needs at shot notice.
**ABOUT YOU**
- Experience in a similar role/capacity or in a role involving extensive exposure and interaction with senior management teams, and with governance responsibilities will be highly regarded
- Highly developed verbal and written communication skills - including the requirement to possess tact, diplomacy, and assertiveness.
- Proven initiative, solutions focused, committed, with a positive and reliable attitude, which is 'can do' including flexibility to get the job done
- Ability to maintain a good working relationship with and between the other coordinators, assistants within the company and external parties
- Ability to focus on the macro, with a high level of attention to detail
- An appreciation for confidential matters and discretion and ability to demonstrate a high degree of professionalism
- Flexibility to work around team priorities and juggle the expectations of multiple stakeholders
