Position Description: Operations Manager

Job Description:

Allegro Energy, an innovative battery company based in Newcastle, Australia, is seeking an Operations Manager. The Operations Manager coordinates the company's day to day operations to ensure efficient and safe functioning throughout the company's activities.

The successful candidate is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organised, flexible, and enjoys the administrative challenges of supporting a team of diverse people.

Key Responsibilities:

General Operations:

* Support company management to ensure smooth, efficient operations across all areas of the business.
* Help develop, implement and maintain company policies and procedures as required, including structured archiving of critical non-technical documentation.
* Supervise administrative assistant(s), providing regular guidance and driving continuous improvement of systems within their respective portfolios.
* Manage relationships with key stakeholders such as partners, vendors, service providers, landlord and customers.
* Help scheduling meetings, for example contract and price negotiations, and documentation control.
* Oversee the site regulatory register, ensuring all servicing, inspections and certifications are current and compliant.
* Maintain operational efficiency through planning and execution of equipment procurement, workspace layouts and office systems.
* Manage workforce regulatory training, licensing and certification requirements, including accurate and up-to-date record keeping.
* Work closely with the WHS Supervisor to ensure workplace safety practices, procedures and regulatory obligations are consistently met.
* Regularly review company operations and activities, identify areas for improvement and present actionable recommendations to management.
* Support HR with onboarding, offboarding and workforce processes, contributing to a structured and positive workplace culture.
* Oversee site general maintenance, shipping, purchasing and accounts payable/receivable (excluding minor procurements).
* Ensure the security, integrity and confidentiality of company data.
* Maintain responsibility for the company cloud platform, including oversight of access, structure and reliability.

Financial Operations:

* Support the company's finance team as required to ensure accurate and timely financial management.
* Maintain and execute the company's financial obligations and documentation in a timely and compliant manner.
* Oversee day-to-day financial transactions, including accounts payable, accounts receivable and general ledger integrity.
* Lead end-to-end grant management, including milestone tracking, payment claims, compliance reporting, acquittals and stakeholder liaison, ensuring all funding obligations are met accurately and on time.
* Assist management with financial reporting requirements, including periodic shareholder reporting, grant applications and acquittals, tax credits, and investor due diligence processes.
* Develop and implement frameworks to improve financial governance, reporting accuracy and overall account management efficiency.
* Ensure site operations meet financial objectives by preparing the annual operating budget, planning expenditures, analysing variances and implementing corrective actions where required.
* Maintain oversight of company-wide expenses and provide management with clear recommendations to reduce unnecessary or inefficient expenditure.

Communications

* Provide executive support, including scheduling meetings, managing calendars and coordinating key events.
* Manage customer enquiries and complaints in a professional and timely manner, ensuring appropriate resolution and documentation.
* Act as the primary point of contact for site visitors, ensuring a professional and well-managed experience.
* Help develop and implement internal and external communication strategies aligned with company objectives and growth plans.

Key Qualifications and Skills:

Qualifications

* Bachelor's degree in Business, Commerce, Accounting, Finance, Operations Management or a related discipline
* Formal training or certification in accounting/bookkeeping (desirable)
* Demonstrated experience in operations management within a commercial or industrial environment
* Experience managing government grants and funding programmes (desirable)
* Working knowledge of WHS regulations and compliance frameworks

Skills

* Strong operational management capability across multi-functional business environments
* Ability to design, implement and improve systems and processes
* High attention to detail with strong organisational discipline
* Capacity to manage competing priorities and meet deadlines
* Sound understanding of accounts payable/receivable, general ledger and budgeting
* Experience in financial reporting and variance analysis
* Grant management capability (milestone tracking, acquittals, payment claims, compliance reporting)
* Working knowledge of regulatory registers, certifications and compliance frameworks
* Understanding of WHS obligations and site compliance requirements
* Ability to maintain accurate documentation and audit-ready records
* Strong written and verbal communication skills
* Professional handling of customer enquiries and conflict resolution
* Ability to prepare board/shareholder and investor-level documentation
* Competence in cloud-based platforms and data management oversight
* Ability to supervise and develop administrative staff
* Collaborative working style across executive, HR and technical teams
* High integrity and discretion in handling confidential information
