Mickleham Secondary College is in the new Merrifield's residential estate on an expansive 20-acre site, with modern landscaping and situated next door to the newly opened Merrifield Recreation Reserve. Our school is surrounded by an engaged, vibrant, supportive community. Mickleham Secondary College has close ties to the local community, with strong support from local organisations and community services. We currently have around 950 students in Years 7 to 10. The school began with 120 Year 7 students and grows annually with a new Year 7 intake. With the first building phase complete, our campus can accommodate up to 800 students.

Phase 2 building funding has been announced and will allow the school to accommodate 1200 students with an added learning neighbourhood building and visual arts building. Selection Criteria SC 1 ¿ Experience supporting recruitment through Recruitment Online, including interviews, documentation, and compliant recordkeeping. SC 2 ¿ Ability to support onboarding and compliance, maintain confidential HR files, and process leave and HR entries in EduPay/SRP accurately. SC 3 ¿ Confident using systems (e.g., Compass, EduPay, Word, Excel) to organise staffing tasks and keep accurate records. SC 4 ¿ Working knowledge of DET policy and employment requirements to support consistent processes and audit-ready documentation. SC 5 ¿ Strong communication and problem-solving skills to work well with others and improve templates and processes. Role Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs. Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management. The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations. This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management. An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher. Responsibilities
* Assist with preparing and submitting job advertisements through Recruitment Online.
* Support recruitment administration, including processing applications, coordinating interview bookings, and arranging reference checks.
* Prepare interview panel documentation and assist with filing and recordkeeping in line with DET requirements.
* Assist in drafting employment contracts and onboarding documentation in consultation with the Leadership Team.
* Support induction and onboarding for new staff by preparing contracts and induction packs, coordinating system access requests, and organising orientation schedules.
* Follow up on mandatory training and policy acknowledgements as directed, and maintain records of completion within required timeframes.
* Liaise with relevant leaders and mentors to support new staff transitioning into their roles and the school environment.
* Provide administrative support for onboarding and induction activities, including maintaining checklists, timelines, and required documentation.
* Prepare employment-related correspondence such as part-time agreements, variation letters, and leave documentation for review and endorsement by the relevant delegate.
* Maintain accurate and confidential employee records in accordance with privacy and information management requirements.
* Process staff leave entries in EduPay, ensuring supporting documentation is received and filed, and refer complex matters as required.
* Respond to routine staff enquiries regarding leave balances, long service leave (LSL), and employment entitlements, escalating queries outside role scope when needed.
* Provide general procedural guidance on employment conditions and DET HR processes, referring complex matters to the Business Manager/Leadership Team.
* Enter and update HR transactions across EduPay and SRP, ensuring information is recorded accurately.
* Assist with GL override processing and costing updates as directed, and report any discrepancies for follow-up.
* Support SRP data checking activities as requested by the Business Manager.
* Assist the Business Manager and Daily Organiser with leave replacement claim administration and submit claims via SRP for reimbursement.
* Assist with preparing and submitting LSL reimbursement claims via the SRP portal.
* Assist with reporting and documentation collation for compliance activities (e.g., audits, data requests) as required.
* Help develop and maintain staff administration guides, templates, and internal procedures to support consistent HR administration.
* Provide general administrative support to the Office Manager and Business Manager.
* Undertake additional administrative tasks or support projects as directed by the Business Manager or Principal Team.
