Administration Officer – Wee Care

Since 1974, Althea Projects Inc. has been supporting and strengthening the capacity of vulnerable people within Townsville and the surrounding regions. Our main programs are Foster & Kinship, Wee Care Residential and Althea's Community Hub, from which we deliver a range of services.

Our Wee Care Residential Service provides crisis, emergency and short-term residential services for children aged 0-11 years. We are looking to appoint an Administration Officer for our Wee Care residential facilities on a permanent full-time basis.

The Administration Officer works within the Wee Care Team, providing a range of administrative support to the Program Manager and individuals within Wee Care and Althea House. The role is responsible for the front desk at Wee Care and for coordinating administrative activities as outlined below. The role is required to demonstrate a high level of initiative, flexibility and willingness to support others in the administrative services provided.

Key Responsibilities

* Act as the primary point of contact for the program, providing professional, timely, and person-centred frontline and administrative support to clients and staff both in person and by telephone.
* Provide effective administrative support to the Program Manager for Wee Care and Althea House, and to the Althea House Coordinator as directed.
* Complete referral intake with new families requesting residential support services and provide to the Program Manager for consideration and approval.
* Maintain the accuracy of client records within CsNet and undertake tasks to ensure compliance with the relevant program manual and policy and procedures.
* Facilitate Emergency Relief Funding (ERF) requests and assessment for families in the community including the distribution of ERF vouchers and Oz Harvest.
* Coordinate the monthly Emergency Relief Funding report with our ERF partners and complete the report for Wee Care within the requested timeframes.
* Responsible for the collection and maintenance of data for reporting purposes across Wee Care residential, ERF and Playgroups within the required timeframes.
* Responsible for identifying social media opportunities for Wee Care as approved by the Program Manager and managed on our social media platforms by the Executive Assistant.
* Maintain the presentation and cleanliness of the foyer, administration area and conference room to a high professional standard.
* Organise and support meetings, functions, and events by coordinating all administrative and logistical requirements, including bookings, agendas, catering, attendee support, and meeting documentation, working collaboratively with staff.
* Provide information technology systems support for staff, including client management systems.
* Monitor outreach status on a daily basis to support staff safety and provide updates to Program Manager and/or House Coordinator as required.
* Assist in supporting the Direct Care staff at Wee Care with embarking and disembarking transportation processes.
* Facilitate the maintenance and repairs within Wee Care and Althea House (when required) including vehicles and office equipment, with approval from the Program Manager
* Order stationery, office supplies, food provisions for Wee Care and Althea House and undertake any other duties necessary to ensure the smooth operations of program areas.
* Forward all expenditure receipts to Finance and Program Manager to support efficient financial transactions and approval processes.
* Positively contribute to the team through staff meetings, supervision, planning days, and staff training.
* Work in accordance with all relevant legislation including, Information Privacy Act 2009, Privacy Act 1988, Human Rights Act 2019, WHS Act 2011, and Anti- Discrimination Act 1991.
* Act in accordance with our mission and values at all times.

* Any other duties as reasonably required, and which fall within the scope of this level

Selection Criteria:

* Certificate III in Business Administration or similar, with a significant amount of administrative and office experience; and experience in community services preferable.
* Well developed administration skills including fast typist, intermediate to advanced computer skills and previous responsibility for stationery, meeting and event coordination, agendas and minutes.
* Excellent customer service skills, with experience in managing a front desk and all queries either in person, by telephone or email or via social media.
* Organisational skills, ability to prioritise tasks and manage competing demands to meet deadlines, excellent attention to detail with ability to ensure compliance.
* Excellent communication and interpersonal skills, including verbal and written skills, with the ability to communicate effectively with a range of stakeholders and provision of support to senior employees.
* Cultural awareness and understanding of Aboriginal Torres Strait Islander peoples and cultures and the issues which impact upon them in society.
* Manual driver's license, and current positive notice (Blue Card).
