The Position
We're looking for a confident, organised Sales & Lead Generation Virtual Assistant with experience in outbound sales, lead follow-up, and GoHighLevel. You'll support a growing Australian coaching business that's looking to expand into the US, UK, and Canadian market. You'll help generate leads, promote a best-selling book, and manage sales systems. About the role
This is a full-time role where 70% of your time will be spent on making outbound sales calls, (best-selling book promotion), customer support, and CRM management — making calls, following up leads, updating GoHighLevel, and keeping the sales pipeline moving. The rest of your time will go to admin tasks like writing follow-up messages, updating outreach records, and documenting repeatable processes.

Responsibilities
Sales Support & CRM Management (70%)
This role is focused on keeping the sales pipeline organised, leads moving, and systems updated.
* Make outbound calls to warm and cold leads in the US, UK, and Canadian markets
* Follow up on inbound enquiries via phone, SMS, email, and LinkedIn
* Set appointments for discovery calls and follow up if prospects go quiet
* Manage, update, and track all leads in GoHighLevel or similar CRM systems
* Write and send follow-up messages using templates or AI-assisted drafts
* Monitor CRM automations and flag broken sequences or missed triggers
* Assist with basic sales reporting or lead tracking via CRM dashboards or Sheets
Research new leads and contacts for outreach campaigns.
General Admin & Operations (30%)
These tasks help support internal structure, communication, and system improvements.
* Organise digital files and manage the shared team inbox for sales-related queries
* Help document repeatable processes by building internal SOPs for outreach, follow-ups, or lead handling
Support onboarding of new clients post-sale with light admin and coordination
* Assist with internal task tracking or communication using Sheets, Trello, or similar tools
* Provide general admin support as needed to keep sales and marketing workflows running smoothly
Software Skills
* GoHighLevel (preferred) or any CRM (HubSpot, Salesforce, etc.)
* Google Workspace (Docs, Sheets, Calendar)
* LinkedIn, WhatsApp, Gmail
* ChatGPT or similar AI tools (for message writing and content drafts)
* Zoom, Loom (for async updates or internal training)
We want to hear from you if you have…
* At least 3-4 years of experience as a sales admin, appointment setter, or outreach VA.
* Experience working with Australian, UK, or US clients in a remote setting.
* Strong understanding of lead pipelines, CRM usage, and follow-up strategies.
* Proven experience making outbound calls and booking appointments.
* Exceptional English communication — both written and verbal.
* Confidence using GoHighLevel or similar CRM tools.
* A strong sense of ownership and motivation to hit targets and keep the CRM organised.
* A calm and clear phone presence that builds trust with prospects.
* The ability to self-manage and troubleshoot issues as they come up.
* Experience using AI tools like ChatGPT to improve or speed up outreach content.
