About the Role

We are looking for a super organised, tech‐savvy, problem solver and strong communicator who can coordinate the movements, schedules, travel logistics and communications for a team of frontline staff who make magic happen every day. You will be the internal liaison between the bookings team and facilitation team, allocating resources, staffing, scheduling rosters, booking logistics like cars, flights and accommodation to ensure our team arrive well rested, fresh and enjoy their travel across the state and country delivering our amazing workshops and programs.

You will be supported by an experienced team who want you to succeed. You'll be given all the right tools, support and information to play a critical role in delivering our mission, to empower boys to become great men.

You are responsible for delivering on time, on budget, staffing and logistics. We travel primarily across the eastern seaboard of Australia, but sometimes nationally and internationally to deliver our programs, workshops and events. You need to be attuned to individual needs whilst balancing budgets and organisational needs.

Key Responsibilities

As the engine behind our workshops and programs, you'll spend most of your time on the screen, on the phone and in team discussions figuring out the best routes, logistics and experiences for our team. In your downtime from the day‐to‐day BAU, you will also take on office management duties, coordinating cleaners, office supplies, room bookings and general upkeep.

* Work with the school and workshop bookings team to forecast term plans, allocate personnel and confirm arrangements.
* Coordinate all delivery day logistics: venues, cars, travel, accommodation and materials.
* Prepare and support facilitators so they walk in ready to do their best work.
* Roster facilitators to programs and ensure they have everything they need logistically.
* Be the go‐to person on program day for last‐minute changes.
* Manage compliance requirements, including Working With Children Checks.
* Provide analytics around cost, spend and time allocations versus budget; present key financial performance to leadership.
* Support the team with office administration.
* Use digital systems and booking platforms to keep delivery organised and on time.

Success in Six Months

You will own a full program delivery cycle end‐to‐end. Facilitators will feel supported and prepared, logistics will run smoothly, and the broader team will have total confidence in you. You will anticipate needs and act proactively.
