We are seeking a highly organised and proactive Assistant Clinic Manager / Personal Assistant to support a busy Ophthalmology practice. About the Role
This is a dynamic, hands-on position combining clinic coordination, team leadership and direct support to the Ophthalmologist.
Key responsibilities include:
* Managing billing, Medicare and health fund processes with a high level of accuracy
* Overseeing daily clinic flow and administrative operations
* Supporting and guiding the reception/administration team
* Acting as Personal Assistant to the Ophthalmologist, including diary management and coordination of clinical commitments
* Coordinating appointments, specialist schedules and theatre lists
* Managing front desk operations and ensuring a seamless patient experience
* Handling patient enquiries with professionalism, empathy and efficiency
* Maintaining patient records and ensuring compliance with practice systems
* Liaising with patients, referrers and healthcare providers
* Supporting workflow optimisation and practice improvement initiatives
About You
You are an experienced medical administration professional who thrives in a fast-paced specialist environment and enjoys balancing operational responsibilities with personalised support.
You will bring:
* Proven experience in specialist medical administration or specialist reception
* Strong experience in clinical billing, including Medicare and health fund processes (essential)
* Strong organisational and time management skills, with the ability to manage competing priorities
* Demonstrated leadership or senior-level support experience
* Excellent communication and interpersonal skills
* A professional, calm and patient-focused approach
* High attention to detail and accuracy
* Confidence using medical software and digital systems
* Initiative, adaptability and a strong work ethic
