Overview
We have two exciting opportunities in our Guest Management and Ticketing team — a Coordinator and an Assistant — for the 2026 AACTA Awards.
These roles will support the Events Producer in all areas related to ticketing, invitations, seating and guest check-in for the 2026 AACTA Awards Ceremonies.
These roles contribute to delivering AACTA's major Awards events and ensuring guests have a positive experience.
The position is based in AACTA's South Melbourne office in Victoria, with openness to remote or flexible work arrangements where appropriate.

Responsibilities
Supervise and contribute to research across the guest list as needed
Field guest queries via email and phone
Liaise with agents and management companies regarding clients and talent
Monitor inbox and maintain filing systems
Maintain and update guest list
Proof assets such as invitations, event pages, FAQ pages and emails
Promote ticket sales via AACTA Awards internal channels
Update ticketing platform as required
Draft seating plans
Attend AACTA Awards WIP meetings
Recruit and manage volunteers including on-the-ground training
Work the 2026 AACTA Awards fielding guest queries, managing volunteers and overseeing guest experience
Report on guest attendance data and consolidate feedback
Objectives
Ensure smooth and professional handling of guest queries
Maintain strong relationships with AACTA's industry contacts
Ensure guests have a positive experience at the AACTA Awards
Maintain accurate attendance data and assist in consolidating feedback
Manage email communications, maintain filing systems, and provide administrative support to ensure efficient workflow within the events team
Relationships
Internal relationships:These roles sit within the guest management team, reporting directly to the Events Producer.
External relationships:Regular communication with talent agents, AACTA members, production companies, Australian screen guilds, and members of the general public; collaboration with broadcast and event production teams.
Selection Criteria
Core Skills & Experience
Experience in events and customer service
Strong written and verbal communication skills
Excellent attention to detail and ability to work under pressure
Professional and confident communication with a wide range of contacts
Experience using Google Suite and Microsoft Office
Tertiary degree (or studying) or demonstrated experience in communications, event management, arts administration or similar field
Personal Qualities
Positive 'can-do' attitude and willingness to pitch in
Team player who thrives in a small, collaborative environment
Calm and solutions-focused when working to tight deadlines
Confident in crowds and adept at creative problem-solving
Availability & Industry Knowledge
Must be available to travel to Queensland from 2–10 February 2026
Knowledge of the Australian screen industry is preferred
Experience in ticketing platforms or events software is beneficial

What to Expect
This is a 3-5 month contract (role dependent) starting October 2025, with approximately 1 day per week in October, increasing to 2-4 days per week from November through February.
