Events and Community Liaison Officer

St Hilda's School, Gold Coast invites applications for the position of Events and Community Liaison Officer commencing 19 January 2026.

This role supports the School's events program and strengthens engagement throughout the wider School community. You will assist with event planning, coordination, administration, and act as a key point of contact for Parent Support Groups and community stakeholders.


About the Position

Full Time

Commencing: 19 January 2026, or as soon as possible after, until 31 December 2026 with possibility of extension.


Key Responsibilities

* Administration
o Provide administrative support related to planning, coordination, and execution of School events such as alumni events, fundraising activities, open days, and community engagement events.
o Assist with budget tracking, purchase orders, supplier liaison, and processing invoices.
o Ensure systems such as Humanitix, TASS, mailing lists, and booking forms are kept current and accurate.
o Update School website relating to community events and assist in preparation of marketing materials for Marketing team approval.
* Event Coordination
o Plan, organise, coordinate, and manage event ticketing, venue bookings, equipment, catering, signage, guest lists and seating plans.
o Attend events as needed, assisting with setup, coordination, and pack‑down to ensure smooth delivery.
* Community Liaison and Stakeholder Engagement
o Build and maintain warm, professional relationships with Parent Support Groups, volunteers, community partners, and alumni.
* Alumni Relations, Database and Archives
o Maintain and update the School's alumni archives and support the development of alumni engagement initiatives, including alumni newsletters, reunions, and networking events.
o Manage alumni correspondence, respond to inquiries, and update contact information.
* Volunteer Coordination
o Coordinate School volunteers for events, programs, and other activities.
o Provide training materials and briefings for volunteers to ensure they are well‑prepared for their roles.
o Prepare Blue Card Audits for Community Volunteers bi‑monthly in conjunction with the Risk and Compliance Officer.
* Parent Support Group Coordination
o Provide administrative support to the Parent Support Groups, including managing meeting schedules, agendas, minutes, communications, attending meetings.
o Assist with organising parent‑led events, fundraisers, and community‑building activities.


Qualifications and Experience

* Demonstrated experience in planning and coordinating events and working in a community engagement or related field.
* High level proficiency in Microsoft Office Suite, SharePoint, and databases.
* Proven ability to plan, coordinate, and execute events from conception to completion, including venue management, catering coordination, and logistics.
* Experience managing event registration systems and ticketing platforms.
* Capacity to attend events outside standard business hours when required.
* High level of administration proficiency and maintaining accurate records across multiple systems.
* Experience with budget tracking, processing purchase orders, and supplier liaison.
* Demonstrated time management and prioritisation skills and ability to work both independently and as part of a team.
* Exceptional written and verbal communication skills with the ability to engage professionally with diverse stakeholders including parents, alumni, volunteers, and community partners.
* Demonstrated ability to build and maintain positive, collaborative relationships with internal and external stakeholders.


Selection Criteria

The successful applicant must hold a current Working with Children Check (Blue Card) or be eligible to obtain one prior to appointment and be willing to have their name submitted to the Anglican Church's Professional Standards Register.
