Recovery Options is a boutique registered NDIS provider, set up to bridge the gap between large style corporate organisations and those wanting a more personalised service. With a main focus on providing disability and psychosocial disability services in the Yarra Ranges and surrounds, Recovery Options helps participants, and their families manage the physical, psychological, behavioural and social aspects of disability that can adversely affect clients and their families lives and health care outcomes.

Recovery Options works solely to achieve 100% customer satisfaction and services a myriad of disabilities such as physical, neurological, psycho- social, vision impairment, autism, complex high care, behavioural supports and provides 24/7 and end of life care.

Position Title: Scheduler

Working Hours: 9am - 5pm Monday to Friday


Position Description

As a Scheduler, you’ll be replacing one of our competent team members in the heart of our operations, ensuring staff are rostered efficiently and accurately. Working within a small team, you will receive full training. Your role will directly contribute to the well-being of our clients and the smooth running of our services. A large part of your work involves communicating with staff, clients, and other stakeholders so your ability to build and foster strong relationships will contribute to the overall success of Recovery Options.

Key accountabilities and responsibilities

Responsibilities include:

* Triage any calls that come in while you work

* Action calls regarding staff & clients calling in sick and going on holidays

* Follow checklists to ensure all tasks relating to schedule changes are adhered to

* Clearly, kindly, and professionally communicate via texts, emails, and phone calls

* Update aspects of client files and accurately record changes on our system

* Be responsible for scheduling appropriate support for new clients

* Liaise with client team, clients, and support workers to set up meet and greets

* Liaise with support coordinators and outside agencies to ensure adequate support is in place

* Discern and reach out to appropriate support workers to cover fills

* Oversee an allocation of dedicated clients’ schedules

* Manage our reception desk and welcome visitors to the building

* Auditing staff information to ensure records are up to date

* Implement school holiday rosters

* Perform schedule changes on extreme and catastrophic fire danger days

* The role may also entail various administration duties when time allows.

Essential skills or experience
* Office or Admin Experience

* Use of Microsoft Office Suite

* Strong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail

* Ability to form and develop positive, professional working relationships with multiple stakeholders.

* Proficient with Windows 11

Desirable skills or experience
* Experience as a scheduler in the NDIS or Aged Care sector

* Experience with CRM's or scheduling software

* Knowledge of NDIS, budgets, plans and Practice Standards

* Knowledge of industry awards and WHS legislation

* Drivers License

Desirable qualifications
* Cert 4 in Disability

* Cert 4 in Mental Health

* Cert 3 in Individual Support

* Cert 3 and above in Administration

* First Aid & CPR

The successful candidate will be required to participate in an interview and complete an administrative assessment to evaluate their technical skills.
