The opportunity
We're looking for an organised, people‐centred Development Assistant to keep our fundraising engine running smoothly. In this part‐time role (0.6 FTE), you'll be the administrative backbone for the Development team—maintaining accurate records, supporting donor communications, and helping deliver intimate donor experiences that deepen connection to AYO's work.
What you'll do
Administrative support
* Enter and update donor and supporter details in our database, ensuring clean, accurate data.
* Prepare and send donation receipts and thank‐you letters.
* Maintain up‐to‐date records of donations, pledges and related correspondence.
* Compile reports and segmented lists for campaigns and appeals.
* File and organise documents, emails and event materials.
Donor & stakeholder support
* Respond to routine phone and email enquiries from donors, alumni and supporters.
* Prepare and distribute invitations, newsletters and event information.
* Assist with donor acknowledgement lists for programs and publications.
* Track donor renewals and follow up outstanding pledges in a timely, professional manner.
Event support
* Assist with planning and delivery of fundraising and donor events, including concerts and special functions.
* Coordinate logistics—RSVPs, ticketing, catering, set‐up/pack‐down.
* Provide front‐of‐house support, welcoming guests and managing registration.
Teamwork & general
* Collaborate closely with colleagues in Development, Engagement and other teams as needed.
* Attend team meetings and take minutes when required.
* Pitch in on other administrative tasks to support the Development team.
You'll report to the Director of Development and work closely with the Philanthropy Manager in a supportive, purpose‐driven team.
About you
You're detail‐driven, proactive and calm under pressure, with a genuine interest in arts philanthropy. You bring:
* Strong administration skills and meticulous attention to detail.
* Clear, warm written and verbal communication.
* Comfort using CRM/fundraising databases (or the aptitude to learn quickly).
* Sound judgement, respect for confidentiality and donor care.
* A collaborative mindset and willingness to roll up your sleeves at events (evenings/occasional weekends as required).
