ZIMMERMANN is seeking an organised and personable Executive Assistant & Office Manager to join our team on a 9-month maternity leave contract.
In this pivotal role, you'll provide executive-level support and coordination to our CEO, COO, and Creative Director. You'll work collaboratively across the organization, performing a range of administrative support functions, and be responsible for the successful management of our Rosebery Offices.
Your key responsibilities will include, but are not limited to:
Executive Assistance:
* Provide general assistance to the COO, CEO & Creative director on a daily basis, including personal requests.
* Manage complex and changing diaries, including scheduling, managing appointments and meetings, and organising associated and supporting documentation.
* Oversee event coordination for staff and office events.
Travel:
* Arrange and book all domestic and international travel, including airfares, accommodation, and transfers for the Executives as well as other team members as required.
* Management of all travel requirements, including but not limited to, arranging phone data packs, travel insurance, and VISA's.
* Assisting in completing budget forecasts and generate expense reports of travel costs.
Office Management:
* Maintain organisational systems and processes to ensure the smooth and efficient running of Zimmermann Offices.
* Manage all building and facility support contracts.
* Complete monthly reconciliation of receipts with credit card statements and ensure all invoices are paid on time.
Required skills and expertise:
* At least 5 years' experience as an Executive Assistant.
* Extensive international travel management experience.
* Advanced skills in Microsoft Office Suite.
* The ability to effectively manage workflow and prioritise tasks.
* Work well under pressure and be flexible.
* High level of confidentiality and professionalism.
* Strong written and verbal communication skills.
* Driver's License (essential).
