About the role
The Warehouse Administrator is responsible for supporting the day-to-day administrative functions of the warehouse to ensure accurate inventory management, timely dispatch, and efficient operational processes. This role plays a critical part in maintaining system integrity, coordinating documentation, and supporting communication between warehouse, transport, customer service, and purchasing teams.

Main tasks/responsibilities
The list below is not exhaustive, and the duties/responsibilities may vary to meet the overall objectives of the company.
Inventory & Systems Administration
· Maintain accurate inventory records within the ERP.
· Process stock adjustments, transfers, write-offs, and cycle count variances.
· Assist with daily, weekly, and monthly stocktakes.
· Monitor and investigate discrepancies between physical and system stock.
Inbound & Outbound Documentation
· Process and reconcile supplier delivery documentation (PODs, invoices, credits).
· Ensure accurate receipting of purchase orders.
· Generate and validate picking slips, manifests, and dispatch paperwork.
· Maintain filing and digital records of all warehouse documentation.
Operational Support
· Liaise with Customer Service, Purchasing, and Transport teams regarding order queries, short picks, substitutions, and stock availability.
· Assist in coordinating urgent orders and priority dispatch.
Compliance & Reporting
· Ensure documentation complies with company policies and audit requirements.
· Support WHS documentation and reporting requirements.
Essential Criteria
The ideal candidate is highly motivated and engaging. You will have the ability to multitask, prioritise and work autonomously.
Ability and Skills
• Previous experience in warehouse administration or logistics.
• Strong attention to detail and high level of accuracy.
• Experience using ERP or Warehouse Management Systems.
• Intermediate Microsoft Excel skills.
• Ability to work in a fast-paced environment.
• Strong communication skills.
Desirable
• Experience in FMCG or fresh produce distribution.
• Knowledge of stock control processes and cycle counting.
• Understanding of food safety and WHS requirements.
