The opportunity Due to an internal promotion, we are seeking a proactive Administration Officer to support the business. You will join an established and supportive team of administrators and play a key role in coordinating bookings, supporting the technical medial team and ensuring a seamless experience for surgeons, hospitals and medical device partners. Key responsibilities Respond promptly and professionally to enquiries from customers, medical representatives, doctors and medical secretaries via phone and email. Coordinate and manage bookings and schedules. Maintain accurate and confidential electronic records of patient and client information in line with privacy requirements. Collaborate with office and clinical staff to deliver a high-quality, professional and confidential service to all clients. Update and manage scientist schedules in line with confirmed bookings and any changes. Arrange travel and accommodation, ensuring cost-effective and efficient itineraries. Liaise effectively with medical device companies, hospitals and medical practices to coordinate bookings and operational requirements. Maintain accurate billing reports and supporting documentation. Order, monitor and report on disposables and consignment stock levels to support billing and inventory control. Maintain detailed asset records of monitoring equipment. Track equipment servicing schedules and coordinate annual servicing to ensure compliance and operational readiness. Maintain an up-to-date register of hospital accreditations for clinical staff to ensure all compliance requirements are met. Support quality assurance initiatives and continuous performance improvement activities. About you You will be an organised, detail-focused administrator or coordinator who enjoys working in a fast-paced, clinical services environment. You will bring: Previous experience in medical administration, healthcare coordination, medical devices or a similarly regulated environment (highly regarded). Strong customer service skills with the ability to communicate confidently and professionally with doctors, medical secretaries, device reps and internal stakeholders. High attention to detail and accuracy in scheduling, data entry and documentation. Strong organisational skills and the ability to juggle multiple bookings and priorities. Solid systems skills; experience with scheduling or practice management systems is an advantage. A collaborative, team-focused approach and willingness to support colleagues across the office and clinical teams.
