Office Manager (Administration, Payroll & Accounts)
An opportunity exists to join a dynamic small business that provides Civil & Mechanical engineering and construction services to the Mining & Heavy Industry sectors. The business has a reputation built on reliability, quality service, and standards, backed by customer engagement and satisfaction.
This role will support the continued growth and brand promotion of the business. Working closely with the Senior leadership team—including the Principal Engineer, Operations Manager, Maintenance & Construction Superintendent, and Senior Engineer—you will oversee day-to-day administration, procurement, HR, accounts, and logistics planning and booking.
We seek a personable individual who understands the importance of a process-driven work environment. You will contact shortlisted candidates in recruitment drives and manage onboarding primarily through phone calls and conversations rather than email.
The incumbent will work within our current systems and processes, proposing improvements as needed. All work should utilize standard Microsoft Office products and our accounting software, Xero. The role is 100% remote, requiring high autonomy and connectivity via Teams. You will handle multiple tasks methodically and seamlessly throughout the day.
As Office Manager, you'll be someone who remains composed under pressure, enjoys organization, and anticipates team and client needs. While HR or Office Administration experience in the Mining industry is not essential, industry experience is highly valued for better understanding. Knowledge of travel arrangements (flights, hire cars, hotels) is required. The key focus areas include:
* HR Administration
* Accounts management using Xero and related add-ons
* Project crew onboarding, logistics planning, and booking
Key responsibilities include:
* Managing daily office and administrative functions to ensure a productive, ISO-compliant environment
* Monitoring key dates and timelines, maintaining updated systems and documentation
* Supporting job scheduling, resource allocation, onboarding, and client site preparations
* Handling travel and accommodation bookings and advising staff and clients accordingly
* Managing Accounts Payable, Accounts Receivable, reconciliation, payroll, and bookkeeping in Xero
* Procurement of site equipment, supplies, inventory management, and other duties as directed
* Leading process improvement initiatives collaboratively to support business growth
* Managing document and electronic filing systems
