Strategic Planning Associate (Contractor)
We are seeking a highly organized and detail-oriented Strategic Planning Associate to support our Strategic Planning team on a fixed-term basis. This contract position will run from July 2025 through January 2026 and is focused on providing project coordination, reporting, and resource planning support across strategic initiatives within our Project Management Office (PMO). This is a short-term engagement for an experienced contractor who has demonstrated capacity to manage and support complex projects, communicate effectively with stakeholders, and contribute to strategic operations in a dynamic, cross‑functional environment.
Scope of Work
- Project Intake & Prioritization Support
- Monitor and triage incoming project requests using established intake processes.
- Apply predefined scoring systems (e.g., Eisenhower Matrix) to evaluate and categorize new initiatives.
- Ensure initiatives are aligned with organizational priorities and strategic goals.
- Reporting & Executive Summary Support
- Gather and consolidate project updates from department leads.
- Prepare executive summaries that highlight progress, key initiatives, risks, and resource needs.
- Maintain and update reporting dashboards using tools such as Jira, Tempo, and Capacity Planner.
- Resource Allocation & Capacity Management
- Coordinate with department heads to track resource allocation and availability.
- Monitor capacity to help balance workloads and identify gaps.
- Flag potential risks and elevate issues as needed.
- Meeting Support & Coordination
- Provide administrative and logistical support for planning and strategy meetings.
- Prepare agendas, capture decisions, and follow up on action items.
- Support coordination of leadership reviews and cross‑functional check‑ins.
- Project Execution & General Management Support
- Assist with project planning, execution tracking, and stakeholder communications.
- Help define and clarify timelines, deliverables, and interdependencies.
- Support continuous refinement of strategic planning processes.
- Promote consistent use of project management tools across teams.
- Support tool adoption and training efforts (e.g., Jira, Tempo, Capacity Planner).
- Identify process improvement opportunities and contribute to their implementation.
- Assist in collecting stakeholder feedback related to strategic planning efforts.
- Document and track risks and escalations to support resolution efforts.
Desired Capabilities
