We are seeking an experienced and highly organised Part-Time Administration Assistant to join our specialist psychology clinic in Carina, QLD.
This role is central to the smooth operation of the clinic. You will be the first point of contact for clients and referrers, ensuring a calm, professional and efficient experience from initial enquiry through to ongoing care. The position requires strong administrative capability, excellent interpersonal skills and confidence working within clinical systems.
Key Responsibilities
* Greet and welcome clients in a professional and compassionate manner
* Manage phone and email enquiries with discretion and efficiency
* Coordinate clinician diaries, bookings and rescheduling
* Process new referrals and liaise with referrers where required
* Maintain accurate and confidential client records
* Manage Medicare, WorkCover and private billing processes
* Provide administrative support to clinicians and the Practice Manager
* Ensure reception and shared areas are well presented and organised
What We Are Looking For
* Minimum 6–12 months experience in psychology or allied health administration
* Experience using practice management software such as Zanda or other outpatient/medical systems
* Strong organisational skills with the ability to manage competing priorities
* Excellent interpersonal and communication skills
* Professional and confident telephone manner
* High attention to detail and accuracy in record keeping
* Proficiency with Microsoft Office and general office systems
* Ability to work independently and collaboratively within a small team
* Strong understanding of confidentiality and privacy requirementsWorking with Vulnerable People Check (or willingness to obtain)
