This role is on a Part Time, 12mth contract.

Salary: $65,000 per annum (pro-rata) + super

3 days per week (9am–5pm)

Initial training office-based in Richmond, VIC

Hybrid working arrangement available once fully trained (2 mandatory office days per week)

Occasional early-morning hosting on balloon flights and weekend reservations support, may be required.

ROLE SNAPSHOT

This is a reservations-first role with a strong trade focus, helping to drive sales of our sunrise hot air balloon experiences.

You'll manage enquiries, bookings and group quotes with accuracy and care, providing a smooth, professional experience for every passenger as the friendly, confident voice of Global Ballooning. Alongside reservations, you'll also support and nurture our trade partnerships through regular communication, training and collaboration to grow long-term travel agent sales. The role will occasionally involve out of hours industry networking events, and interstate travel for tradeshows (on average 1–2 per year) to connect with partners and showcase our brand.

ROLE PURPOSE

The Reservations & Trade Coordinator plays a key role in:

* Converting enquiries into confirmed bookings
* Delivering exceptional experiences to passengers and supporting agents in selling our experiences
* Supporting trade partners with pricing, product knowledge and training so they can confidently sell our experiences
* Ensuring reservation accuracy and smooth communication between customers, trade partners and operations

This role is perfect for someone who loves sales conversations, building genuine relationships, and working with both customers and trade partners in a premium, experience-driven tourism environment.

ROLE OVERVIEW

* Handle enquiries via phone, email, and online platforms
* Convert enquiries into confirmed bookings and prepare accurate quotes
* Process bookings, amendments, cancellations, and payments
* Maintain high-quality communication with customers and trade partners
* Support trade partners with product info, pricing, and training
* Assist with group bookings and special requirements
* Time permitting: support marketing initiatives, reporting, and website updates

SKILLS & EXPERIENCE

Must haves:

* Must be an Australian citizen and able to commit long-term
* Valid driver's license and reliable car
* Fluent in English, with excellent written and verbal communication
* 1-2 years' experience in reservations, customer service, sales, or tourism
* Proficient in Microsoft Office Suite (Outlook, Word, Excel)
* Confident handling phone-based enquiries and closing bookings while providing a professional, friendly customer experience
* Strong attention to detail, organisational skills, and ability to manage multiple priorities
* Confident in building and maintaining strong professional relationships
* Adaptable, solutions-oriented, and a self-starter who seeks continuous improvement
* Team player who collaborates effectively while taking ownership of responsibilities

Nice to haves:

* Experience working with trade partners or agents
* Background in tourism or hospitality
* Experience with CRM or booking systems
* Basic experience with Mailchimp and WordPress
