About the Opportunity
We are looking for a Maternity Leave cover for a period of 6–7 months with the possibility of permanency.
This position will handle all routine administrative tasks and will require the ability to successfully balance assignments and a variety of duties from multiple individuals. A professional in this role will be expected to use good judgment and maintain confidentiality at all times.
Primary Duties
* General Administration
o Create and maintain paper and electronic files
o Maintain calendars and contact lists and update as needed
o Coordinate all meeting and travel arrangements
o Set‐up conference calls
o Type and edit correspondence and reports
o Demonstrate proficiency using firm‐developed templates for correspondence and presentations
o Sort, read, and distribute internal and external mail
o Answer all assigned phones, take messages and fulfill requests
o Complete requests for deliveries, faxes, and couriers
* Financial Administration
o Capture time and expense and apply to proper charge codes
o Assist with the collection of billing information, invoice creation and collection
o Run Elite reports (e.g., WIP, AR, Unbilled)
* Technology Application
o Create documents, reports, spreadsheets using Microsoft Excel, Word, and PowerPoint
o Search intranet/internet and provide information
* Reception (may be required in smaller FTI offices)
o Perform general reception duties and/or back‐up reception duties as applicable
o Remove the phone from the night bell each morning
o Respond to all overnight messages and review daily conference/meeting requirements
o Answer phone and respond to inquiries or direct calls as appropriate
o Receive visitors and handle inquiries as appropriate
o Maintain current employee roster with telephone numbers and contact information
Basic Qualifications
* Minimum of 2 years college preferred
* 3–5 years of administrative support experience required
Preferred Skills
* Capacity to multi‐task, prioritize workload, and effectively manage time to meet deadlines
* Ability to work in a fast‐paced, deadline‐driven environment
* Demonstrate excellent oral and written communication skills
* Work effectively as part of a team when required; be flexible with independent tasks when teamwork needs are a priority
* Perform all tasks with attention to detail and review for accuracy
* Maintain courteous, professional manner in person and on the phone
* Proficient in Microsoft Office applications (Excel, Word, PowerPoint)
