Senior Venue Wedding Planning Coordinator
Melbourne | Full-Time | Up to $90,000 + Super
An established and highly regarded wedding and events venue located East of Melbourne is seeking an experienced Senior Venue Wedding Planning Coordinator to join our team, Tuesday to Saturday.
Hosting approximately 150 weddings and events annually, we are looking for a highly organised professional who thrives in a fast-paced environment and understands the level of detail, accountability and commitment required to deliver exceptional client experiences.
This role is best suited to someone who has previously been responsible for managing the complete planning process for a high volume of weddings within a dedicated venue environment.
The Opportunity
As the primary coordinator for our booked weddings and events, you will take ownership of the planning journey from handover through to final execution.
This is a senior administration-focused role where accuracy, organisation and proactive communication are critical to success.
Working closely with our operations team, suppliers and clients, you will be responsible for ensuring every detail is captured, communicated and executed to the highest standard.
The role is approximately 80% administration and client management and 20% operational support and event coordination.
Key Responsibilities
* Manage wedding and event files from booking confirmation through to event delivery.
* Conduct planning meetings, final detail meetings and client consultations.
* Gather, document and communicate all event requirements with exceptional accuracy.
* Prepare detailed event orders, floor plans, timelines, schedules and operational documentation.
* Liaise with clients, suppliers and internal departments to ensure seamless event execution.
* Respond to client enquiries and provide professional guidance throughout the planning process.
* Coordinate event information between all stakeholders and departments.
* Monitor planning milestones and ensure all deadlines are achieved.
* Maintain accurate records and oversee multiple event files simultaneously.
* Work alongside a part-time support coordinator to ensure continuity across all events.
* Assist with venue inspections and client appointments when required.
Event Coordination Responsibilities
Whilst the primary focus of this position is wedding planning and administration, applicants must possess strong on-the-day wedding coordination experience.
During periods of annual leave, peak demand or operational requirements, you may be required to assume the role of Lead Wedding Coordinator and oversee the successful delivery of weddings and events. This includes:
* Managing event timelines and service flow.
* Liaising with clients, suppliers and entertainment providers.
* Coordinating operational teams.
* Troubleshooting and resolving issues as they arise.
* Ensuring an exceptional client and guest experience.
About You
To be successful in this role you will possess:
* Minimum 3 years' experience as the primary wedding coordinator within a dedicated wedding venue, reception venue, hotel events department or large-scale events business.
* Proven experience managing a high volume of event files simultaneously while maintaining exceptional accuracy and attention to detail.
* Outstanding organisational and time management skills.
* Strong written and verbal communication abilities.
* Experience conducting client planning and final detail meetings.
* Advanced computer literacy and confidence working across multiple software systems.
* Ability to prioritise competing deadlines and remain calm under pressure.
* Professional presentation and a customer-focused approach.
* Strong problem-solving skills and a proactive mindset.
* A team-first attitude with a willingness to assist wherever required.
Working Requirements
This role operates primarily on a Tuesday to Saturday roster.
Applicants must understand that:
* Saturday work is an essential requirement.
* Some Sundays will be required during peak periods and based on business demand.
* Additional hours may occasionally be necessary to ensure deadlines are met and events are delivered successfully.
