Position Overview:
The Project Administrator will provide day-to-day administrative and coordination support across multiple ongoing projects. Working closely with Project Managers, Field Engineers and site teams, you will ensure that documentation, communication and project processes run smoothly from planning to completion.
Attending weekly project status meetings with the Department, organising and coordinating workshops for discovery of upcoming projects, liaising and coordination of staff for upcoming and ongoing projects, creation of Monthly Pricing Explanations (MPE) for projects for Departmental approval of invoices, internal tracking of projects, coordination of meetings and taking meeting minutes, reviewing timesheets via reports to ensure effort has been accurately captured, training and mentoring of new staff, assist with project management duties as needed as well as performing administrative duties.
Key Responsibilities:
· Plan, organise and coordinate project activities and timelines
· Prepare, track and manage project documentation, reports, schedules and project files
· Coordinate communication between clients, suppliers, subcontractors and internal teams
· Support Project Managers and site teams with administrative processes to achieve project goals and deadlines
· Monitor project progress and collect data for reporting and performance analysis
· Prepare and review progress reports, project submissions and compliance documents
· Organise project meetings, prepare minutes and follow up on action items
· Maintain accurate and up-to-date project records, registers and databases.
Skills & Qualifications:
· Diploma or higher qualification in project administration or a related field.
· Minimum of two years of proven experience in project administration, project coordination or a similar role.
· Strong organisational and multitasking skills with high attention to detail.
· Ability to work in a fast-paced environment and manage competing priorities.
· Excellent communication and stakeholder coordination abilities.
