WEM is excited to offer a rewarding opportunity for an experienced Executive Assistant to join our growing team in Bella Vista. In this pivotal role, you’ll act as a trusted partner to our Executive Team, including the CEO, CFO, and Executive Chairman.
This dynamic position goes beyond traditional admin support, offering the chance to lead executive coordination, drive internal communications, deliver high-impact events, and champion community engagement initiatives.

Key Responsibilities:
* Provide high-level executive and personal support to the CEO, CFO and Executive Chairman, ensuring seamless daily operations and prioritisation of strategic objectives.
* Manage complex diaries, email inboxes, travel arrangements, and confidential communications with discretion and efficiency.
* Coordinate internal and external meetings, ensuring agendas are set, logistics are managed, and the CEO is well-prepared with briefing materials.
* Draft high-quality correspondence, executive reports, presentations, and key business documents on behalf of the Executive Team.
* Play a key role in nurturing client relationships through timely follow-ups, communication schedules, and executive-level touchpoints.
* Lead the development and execution of internal communication strategies for the CEO, helping to maintain visibility and engagement across all levels of the workforce.
* Attend senior leadership and board meetings, capturing and distributing clear, actionable meeting minutes.
* Plan and deliver end-to-end employee and client events—managing everything from concept and logistics to budgets, stakeholder engagement, and event execution.
* Serve as WEM’s key representative for community partnerships and philanthropic initiatives, such as the Sydney Children’s Hospital, by coordinating corporate donations, sponsorships, and employee volunteer engagement.
* Lead the Community pillar within WEM’s Sustainability Working Group, driving the delivery of meaningful initiatives that strengthen our social impact and community connection.
* Act as the key point of contact for WEM’s external marketing partners to ensure consistent branding and messaging across all campaigns, maintaining alignment with WEM’s values, vision, and brand standards.
* Provide leadership to the Receptionist/Office Coordinator through mentorship, performance oversight, and workflow management.
* Oversee essential office functions including building operations, uniform and supply management, and corporate card processes, ensuring smooth and cost-effective administrative support across the business.
We Are Looking For Someone Who Has:
* Demonstrated experience in providing high-level executive support to C-suite or senior leadership, with a strong track record of managing complex schedules, communications, and administrative functions.
* Exceptional organisational skills with a proven ability to prioritise tasks, manage multiple deadlines, and adapt quickly in a fast-paced, evolving environment.
* Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with digital collaboration tools such as SharePoint and Teams.
* Outstanding written and verbal communication skills, with the ability to draft professional correspondence, reports, and presentations, and communicate effectively with internal and external stakeholders.
* Strong interpersonal skills, with the ability to establish and maintain trusted working relationships across all levels of the business and with external partners.
* Excellent time management and forward planning abilities, with a proactive and solution-oriented mindset to anticipate needs and address challenges before they arise.
* Skilled in the preparation of high-quality presentations and business reporting, ensuring information is accurate, clear, and visually engaging.
* High level of discretion and sound judgment, consistently maintaining confidentiality and professionalism when handling sensitive information.
* Thrives under pressure, with the ability to deliver high-quality work within tight timeframes and shifting priorities.
* Confident working in close partnership with executive leadership, demonstrating initiative, resilience, and strong stakeholder engagement across diverse audiences.
