Experienced Values-driven Receptionist/Admin Assistant at Haven Psychology

Position: Receptionist/Admin Assistant (Full-time)

* pm (Mondays, Wednesdays and Fridays)
* pm (Tuesdays and Thursdays)

Location: Milton, Meanjin/Brisbane, QLD – Starting ASAP/January 2026

Haven Psychology is seeking an experienced, calm, compassionate and reliable full-time receptionist/admin assistant at our Milton practice in Meanjin/Brisbane. Our administration team are as essential and valued as our clinical team. We seek a receptionist/admin assistant with a minimum of 2 years of demonstrable experience within a psychology, allied health, or medical practice, with further training provided for the right person.

About the Role:

* Understanding and maintaining client and practice-wide confidentiality and privacy
* Provide inclusive, accessible, collaborative and compassion-led client services
* Navigating challenges when client expectations cannot be met in the moment, in a trauma-informed and culturally responsive manner
* Excellent trauma-informed and culturally responsive written and verbal communication skills
* Appropriate, respectful communication skills applied to individual client needs.
* Collaborate with psychologists and the leadership team for a seamless client experience
* Diary management for psychologists
* Participate in team meetings, project work and a positive team culture
* Contribute to improving and streamlining administrative processes and procedures
* Experience processing Medicare, NDIS, DVA, WorkCover and private health insurance billing is required at commencement.
* General administration duties include opening and preparing the practice for the day.

About You:

You are a calm, compassionate and reliable administrative professional with a heart for helping people and supporting our psychologists and clients with their goals. This role calls for a strong ability to work efficiently, productively, and collaboratively within team settings and autonomously, managing various administrative tasks and priorities throughout the day.

* Quick adaptability to unexpected changes or requests whilst maintaining or returning attention to previous tasks. Strong multi-tasking and task-switching abilities are essential.

* High degree of attention to detail and accuracy, such as differing time zones, written and verbal communication.
* Accuracy over speed is essential. Meticulous means being comfortable with 'slow is fast'.
* Strong organisational skills, including the ability to prioritise workload and meet deadlines
* Ability to work in a busy practice environment and maintain confidentiality

Highly Regarded Skills and Experience:

* Demonstrated ability to work efficiently in a team environment, as well as autonomously where required
* Training in client care and administrative support.
* Mental Health First Aid Training
* Proficiency in Microsoft Office Suite and other relevant software packages
* Familiarity with practice management software (especially Zander, formerly PowerDiary), including various billing procedures
* Knowledge of psychological/medical terminology and processes

Our Offer:

The salary range is $60-70k + superannuation + 4 weeks of annual leave and 2 weeks of personal leave. Remuneration will be negotiated according to relevant experience, but is well above the Health Professionals and Service Support Award. You get to be authentically you, with Haven's full support.
