Regional Development Australia Central and Western Queensland is a Federal Government-funded initiative designed to promote economic development in Central and Western Queensland.
We have a vacancy for a part-time executive assistant, reporting to the Director of Regional Development. Anticipated hours are 25/week, being Mon-Fri 9:00 a.m. until 2:30 p.m. with 30 mins unpaid break. Hourly rate is $40/hr. + Super.

POSITION OBJECTIVES AND KEY DELIVERABLES
The position objectives and key deliverable are focused on supporting the Director of Regional Development and the Committee to achieve the following:
· Successful place-based execution of the RDA Charter
· Enhanced Community Engagement and Consultation
· Improved Regional Planning
· Enhanced Awareness of Government Programs
· Improved Community and Economic Development
1. Provide administrative and secretarial support to the DRD.
a) Provide administrative and secretarial support to the DRD.
b) Prioritise and ensure that reports, business papers and correspondence are dealt with efficiently and promptly.
c) Perform website, bulk mailouts and social media updates and maintenance as needed
d) Maintain diary of DRD and organise their travel and other related arrangements in conjunction with the Chair and other members of the Committee as appropriate.
e) Filing, preparation, collation and distribution of supporting documentation, notes and correspondence.
f) Answer telephone calls.
g) Advise the DRD of matters requiring personal attention, with associated deadlines, and preparing relevant documentation.
h) Deal with matters requiring attention, or refer them to the appropriate person in the absence of the DRD.
i) Liaise with external Bookkeeper and provide necessary documentation and assistance.
2. Provide administrative and clerical support to meetings
a) Take notes or minutes of various Board, Board Committee, stakeholders and other meetings when required. Send to DRD for review, then to board for approval.
b) Prepare Board meeting agenda for DRD and Chair approval and supportive documents and notes and distribute when approved.
c) Book meeting rooms in accordance with Board meeting dates.
d) Check details in all paperwork working with others as necessary.
e) Identify and take any follow up action arising from the notes that are required.
3. General administrative assistance
a) Assist in the maintenance of documentation of office policies and procedures manuals.
b) Provide administrative support to other staff and committee members as required.
4. Correspondence and communication.
a) Deal with correspondence addressed to the DRD as requested.
b) Assist with letters and presentations for DRD as requested.
c) Manage communication to DRD by screening calls, letters and emails. Determine which require priority and bring to DRD’s attention and which communication is appropriate to deal with independently.
5. Special projects
a) Carry out special projects as allocated by the DRD.
b) Carry out research and analysis that may be needed for projects.
c) Communicate with stakeholders, clients, visitors to achieve aims of projects.
d) Monitor progress of projects allocated to staff/stakeholders by DRD. Prepare reports to DRD on progress and implement any actions.
This position will work with all sectors of the community, including women, young people, Indigenous Australians and people from a variety of cultural backgrounds. A key focus of the position will be assisting to identify and mitigate the economic, social and environmental issues affecting communities.

Knowledge:
· Knowledge of regional Queensland issues/matters
· Broad knowledge of economic and social issues affecting Central Queensland
· Understand financial principles
Experience:
· Broad experience in dealing with organisations in Central Queensland
· Broad experience in dealing with government, non-government, industry and community groups
· Extensive administration experience including finance, HR, IT and travel bookings
· Extensive administration experience in management of correspondence, reporting
· and organisational databases
· Obtaining up to date research and data
· Working knowledge of Microsoft Office productivity and graphic design tools.
Performance Standards
· Tasks allocated to this position shall be performed to a high standard, and in accordance with the established guidelines
· Duties will be carried out in accordance with accepted industry standards, and compliance with various organisational requirements and local law
· Allocated tasks and reporting requirements are to be consistently completed within the agreed timeframes
· Active participation in planning and implementing productivity and efficiency improvements is expected
