ADMINISTRATIVE & PERSONAL ASSISTANT - CONTRACTOR (ABN REQUIRED)
Ongoing contractor role – ABN required | Approx. 18–24 hours per week
Office-based in Wembley with occasional site visits around metro area – this is not a work‑from‑home or virtual role.
We are seeking a reliable and proactive Administrative & Personal Assistant contractor to provide hands‑on administrative and PA‑style support to the Director of a Perth-based business. This role suits someone who enjoys variety, works well in a small team environment, and is comfortable supporting both office‑based tasks and occasional on‑site activities.
Key responsibilities
Administrative & coordination
* Collate warranty and induction documentation and submit to builders
* Track installations and liaise with installers and clients as required
* Cross‑check invoices from curtain hardware suppliers and curtain makers
* Maintain database records and perform general data entry
* General office administration including filing, photocopying and document management
* Maintain and update product swatches and sample libraries
Personal assistant support
* Provide day‑to‑day PA‑style support to the Director
* Assist with reminders, task follow‑ups and coordination
* Act as a point of contact when the Director is on site or unavailable
* Answer and screen calls on the Director's behalf
* Take notes and record information during meetings or site visits
Tenders & quotations
* Open and review requests for tender
* Assess whether tenders are to be handled internally or by subcontractors
* Coordinate tender documentation (no pricing or tender writing required)
* Follow up quotations and tenders via phone or email
Customer & service support
* Handle and screen general service enquiries
* Coordinate follow‑ups and information requests
Occasional on-site support
* Taking notes during site visits
* Answering phones while the Director is with clients or measuring
* Recording measurements called out during site measures
About you
* You operate as a contractor with your own ABN
* Proven experience in an administrative assistant and/or personal assistant role
* Comfortable working in‑office and on site (this is not a remote role)
* Confident communicating with builders, suppliers and subcontractors
* Highly organised with strong attention to detail
* Practical, calm and reliable in busy environments
* Perth‑based and available for occasional site visits
Experience supporting a business owner or director will be highly regarded.
