We are seeking a proactive and organised Maintenance Officer to support the business and Facilities Manager in the day‑to‑day coordination and administration of property and maintenance activities across our owned and leased sites.
This role plays a key part in ensuring our properties are safe, compliant, and fit for purpose. You will deliver high-quality customer service, liaise with contractors, coordinate contractors, maintain accurate records, and support preventative maintenance and compliance activities within a purpose‑driven organisation.
Key responsibilities
* Support the property team with administration services including preparing correspondence, data entry, report generation, financial administration, project support, scheduling contractors, liaising with service delivery to manage contractors onsite and ad hoc tasks as required.
* Support the maintenance of all properties nationally to a safe, compliant, and fit-for-purpose standard.
* Liaise with vendors in the management of their compliance obligations and onboarding.
* Support preventative maintenance scheduling, maintaining registers, and improving processes and systems.
* Ensure compliance with all internal and external standards including accreditation standards and/or guidelines, professional practice standards, HSW standards, contract compliance and legislation that is applicable in this role.
* Provide administrative support with projects and organisational initiatives.
* Maintain accurate and up-to-date property registers, live documents, and compliance records.
* Assess maintenance issues, determine urgency, and coordinate timely and appropriate responses.
* Manage maintenance-related incidents, complaints, and feedback in line with internal systems and service level agreements.
* Build strong working relationships with head office and operational teams to support effective service delivery.
* Provide high-quality, proactive support that enables managers and teams to focus on their core responsibilities
* Provide leave cover for the Facilities Manager when required
About you
* A strong commitment to working in a purpose led organisation
* Demonstrated experience in property maintenance coordination delivering high-quality, customer focused services.
* Knowledge and experience working with state and national compliance obligations.
* Excellent communication and interpersonal skills, with the ability to liaise confidently with contractors, vendors, and internal stakeholders and internal stakeholders.
* Strong organisational skills with attention to detail and the ability to prioritise competing tasks
* Current C Class driver's licence with personal car that can be used for work purposes. Must be able to travel within NSW regularly and interstate as required.
