About the role
This role provides high-level administrative and operational support which is responsive to the requirements of the Director, Customer and Transformation and the Manager Strategy and Performance, enabling effective leadership, governance and stakeholder engagement. Working at the centre of a busy Directorate, you will manage priorities, correspondence, reporting, culture initiatives, continuous improvement projects and key processes, while exercising sound judgement, discretion and professionalism.
You will liaise confidently with the Mayor, Councillors, senior leaders, staff, residents and external stakeholders, often on sensitive and time‐critical matters. This is a trusted role that requires initiative, resilience and a strong customer focus in a dynamic, politically aware environment.
About you
You are an experienced executive assistant (or possess strong transferable experience), who thrives in a complex, fast ‐ paced environment and enjoys working autonomously. You have excellent organisational skills, strong attention to detail, ability to identify and implement better ways of working and the capacity to manage competing priorities while remaining calm under pressure.
You bring highly developed interpersonal and written communication skills, with the confidence to engage professionally and diplomatically with Councillors, senior leaders and the community. You are proactive, solutions ‐ focused and comfortable handling sensitive information with discretion.
You have strong administrative and IT skills, enjoy improving processes, and are motivated by supporting leaders and teams to deliver great outcomes for the community.
Key responsibilities
You will oversee the day ‐ to ‐ day administrative operations of the Customer and Transformation Directorate office, including complex diary management and coordination of meetings, correspondence and reporting. You will manage Council report planning and approval processes, track incoming correspondence and customer requests through corporate systems, and ensure responses are timely, accurate and aligned with service standards.
You will provide high ‐ quality executive support through meeting preparation, agenda management and minute taking, while maintaining confidentiality and sound records management practices. You will also act as a key point of contact for internal and external stakeholders, providing professional, responsive and solution ‐ focused customer service.
In this role you will contribute to a positive organisational culture by coordinating and delivering directorate ‐ wide staff engagement activities. You will undertake research, identify opportunities for continuous improvement, and lead or support projects that enhance processes, ways of working and staff engagement across the Directorate.

* Demonstrated extensive experience as a personal/executive assistant.
* Relevant Tertiary qualification in administration (desirable).
* Proven experience in working with sensitive issues.
