By joining Better Motor Deals, you become part of this broader legacy, supported by strong leadership and an inclusive, people-first culture.About the RoleThe Dealership Administrator supports Better Motor Deals and the BMD Fleet team in managing vehicle sales, disposals, and day-to-day operations.
This includes handling contracts, invoices, records, and data systems, liaising with suppliers and customers, assisting with sales handovers, and maintaining yard and fleet operations.
The role ensures smooth administration across the full vehicle lifecycle while providing essential support to management and the wider business.Key ResponsibilitiesProvide day-to-day assistance to the Operations Manager, Better Motor Deals, BMD Fleet Manager and the wider business.Establish and maintain sound working relationships with suppliers, business units and customers.Carry out and review reports, repair quotes/orders and invoices as required.Carry out pre-disposal inspections and reports, including ongoing management of documents and photographs.Write up contracts, invoices and documentation associated with the sale/disposal of BMD vehicles/equipment internally and externally.Manage invoices, repair orders and purchase orders including approval, coding and submission of payments.Carry out and assist with data management, analysis, storage and housekeeping.Assist with vehicle maintenance/repair, RWC, redeploy, transport and disposal.Assist with sales inquiries, sold vehicle handovers and customer interaction.Assist with management of number plates, plate orders, plate changes and transfers.Assist with movement of vehicles, equipment and staff for Better Motor Deals and BMD Fleet.Work with and attend TMR regarding registration management, cancellations and transfers.Management and development of DMS, AX and other related electronic systems as required.Ensure shed, detailing area and yard are maintained, orderly, safe, clean and tidy at all times.Oversight and tasking of the Fleet/Yard Support Officer.Preferred ExperienceKnowledge of fleet management and maintenance principles desirable.Previous experience in the management/sale of motor vehicles in a dealership environment desirable.Understanding of Queensland Transport registration and compliance requirements and systems.Good level of mechanical knowledge and aptitude.Previous experience in the use of fleet management and online fleet support systems.Proficiency in Microsoft Office Suite including Outlook, Excel and Word.Open drivers license.Diversity and InclusionWe recognise that we are strengthened by diversity, and we embrace differences as an equal opportunity employer providing a flexible and inclusive workplace.So, join our team, be yourself and help us power futures and create legacies.
