Position details:

Union Institute of Language (UIL) [CRICOS Provider No: 02529F | ABN: 61 103 721 759] is a TEQSA registered, NEAS accredited English Language College committed to providing high quality English courses, study tours and homestay to international students of all ages from around the world. UIL has campuses in Springfield, Toowoomba, Cairns and The Sunshine Coast and planned for overseas. The delivery of educational study tours is a major component of UIL’s business and we are seeking a full time study tour guide starting from 1 May 2026 to be based at the Springfield Campus. A bilingual Chinese speaking guide is required for this role to assist in the effective interaction with our Chinese speaking student groups. The Study Tour Guide is responsible for supervising, guiding and supporting students and visitors during UIL study tours, ensuring a safe, enjoyable, and educational experience. The role involves tour planning, coordinating logistics, providing student supervision, excellent communications, delivering high-quality customer service, and ensuring administrative requirements are completed.

Responsible to: Study Tour Manager, through to the Campus Director and Executive Director.

Qualifications and other requirements:

· Must have a minimum of Bachelor Qualification in a Tourism related area (or equivalent) focusing on hospitality and planning of programs from an Australian University.

· Must have a minimum of 2 year’s experience of managing groups of both school age and adult international students.

· Must be fluent in mandarin and be very familiar with Chinese culture and customs to assist in ensuring the successful delivery of study tours of Chinese speaking children and adults from their arrival and throughout their time in Australia as bilingual assistance is critical to ensure student safety and successful tour outcomes.

· Must be able to interact with overseas institutions in Mandarin to develop customised tour programs to suit the client’s needs.

· Must be able to interact with the parents of students and staff of the overseas institution in Mandarin regarding the student’s experience and welfare while in Australia.

· The role will include evening and weekend work.

· Must be prepared to travel with the tour group to other locations in Queensland if the program itinerary stipulates.

· Must be highly component with student management database usage.

· Must have significant experience using the Microsoft suite of programs.

· Must have a current BlueCard and Australian Driver’s License.

Main duties include:

Tour program schedule development, Preparation and Administration

· Liaise with client institutions/agents to develop customised tour schedule to meet the needs of the tour group.

· Confirm logistics with the Study Tour Team, including bookings, schedules, materials, meals, and emergency plans.

· Organise team briefings prior to each tour.

· Distribute detailed itineraries, contact details, and expectations to client institutions/agents and study tour participants in advance.

· Ensure delivery of all services and activities as outlined in the itinerary.

· Demonstrate punctuality, respectful communication, and professional conduct at all times.

· Develop contingency plans and proactively address potential issues.

· Support the preparation and management of graduation ceremonies with the Study Tour Team.

· Undertake other administrative tasks as directed by UIL management.

Student Supervision and Safety

· Monitor student behaviour, ensuring compliance with rules and codes of conduct.

· Maintain high safety standards across activities, accommodation, and transport.

· Provide clear instructions on emergency procedures and key points of contact with translation as required.

· Conduct regular headcounts, enforce curfews, and manage safety risks (using the Risk Assessment Matrix).

· Respond appropriately to illness, injury, or unexpected incidents (in line with Emergency Procedures).

· Assist with tour group travel or transport-related issues.

Educational Facilitation

· Support students in understanding and respecting local customs and cultural differences.

· Ensure the study tour aligns with agreed academic and developmental goals.

Communication and Reporting

· Serve as the primary liaison between students, chaperones, drivers, activity providers, and homestay families.

· Provide assistance with translation in all communications with particular emphasis of essential or complex information.

· Manage conflicts calmly, fairly, and with discretion.

· Complete post-tour reports, including feedback, evaluations, and incident documentation.

· Provide on-campus assistance, addressing tour group questions and supporting daily needs.
