Full time, fixed term until 30th June 2028 Exciting opportunity to provide high level support for Microscopy Australia Base Salary $99,455 - $107,216 17% superannuation About the team Microscopy Australia is a consortium of university-based microscopy facilities united by values of collaboration, accessibility, excellence and innovation. Funded by the Commonwealth government under the National Collaborative Research Infrastructure Strategy (NCRIS), relevant state governments and with co-investment by the institutional partners, Microscopy Australia’s mission is to enable world-class outcomes from Australian research by providing essential infrastructure to see the world at the micro, nano and atomic scale. Each year, over 3,500 researchers from universities and industry use our instruments and expertise in facilities around Australia, with a further 50,000 from around the world accessing our online training tools. Occasionally business travel is required, usually within Australia. The University of Sydney is the lead organisation for Microscopy Australia and as such hosts the national headquarters team. Microscopy Australia comprises about 150 staff across the participating partners, but day-to-day interaction happens within a small team based at The University of Sydney. The headquarters team is co-located with a friendly, diverse group of about 35 Sydney Microscopy and Microanalysis facility staff, in the heart of the beautiful Camperdown campus ( https://www.sydney.edu.au/research/facilities/sydney-microscopy-and-microanalysis.html ), within the DVC Research Portfolio. For more information on Microscopy Australia, please visit: https://micro.org.au/ About the opportunity As the Senior Administration Officer, you will provide high-level administrative and project support to the national operations of Microscopy Australia, based at Sydney Microscopy and Microanalysis at the University of Sydney. Reporting to the CEO, you will work closely with Microscopy Australia management to deliver a broad range of functions including finance management, HR support, travel coordination, event planning, committee support, compliance, and reporting. A sound understanding of financial processes will be important, as you’ll assist with budgeting, expense tracking, and financial reporting. Your ability to navigate complex administrative matters and contribute to efficient, practical solutions will be highly valued. Your key responsibilities will be to: Work within a dynamic team, reporting to the CEO, Microscopy Australia deliver high-level administrative and operational support by managing daily office functions, resolving complex enquiries, improving processes, and providing guidance to staff and visitors manage finance and record-keeping responsibilities including budgeting, expense reconciliation, procurement, reporting, and asset tracking in line with university policies coordinate meetings, diaries and events including committee support, venue bookings, travel arrangements and organising conferences and workshops provide cross-functional administrative support including legal agreements, grant coordination, staffing processes and interstate meeting assistance foster collaborative relationships across teams and partner institutions, contributing to a positive team culture and supporting staff training and development support special projects and ad-hoc tasks as required, contributing flexibly to broader organisational goals About you tertiary qualifications and/or relevant experience in a related field administrative experience in a tertiary organisation, working knowledge of academic institutions, structures and the higher education sector financial management experience and literacy, experience managing budgets, financial reporting and controlling income and expenditure excellent verbal and written communication skills with the ability to present complex information and financial analysis clearly to diverse audiences proficient in a range of software including spreadsheets, Concur, records and content management systems, and CRM platforms proven ability to work independently and collaboratively, using initiative and sound judgement to resolve issues effective relationship management and customer service skills, with strong problem-solving and workload prioritisation abilities.
