We partner closely with community, government, and industry to deliver measurable social impact and drive systemic change.Job Purpose:To provide essential administrative support to the finance function, particularly in response to increased workload related to the wage subsidy program, participant onboarding, and NIAA compliance.
This role ensures continuity of operations, improves workflow efficiency, and supports accurate, timely invoicing.Key Responsibilities1.
Wage Subsidy AdministrationRespond to wage subsidy-related emails and requestsTrack and collate required documentation (e.g.
payslips, leave declarations)Follow up with employees fortnightly for confirmations and documentationMaintain organised records for reporting2.
Participant Onboarding SupportSend, track, and follow up on onboarding questionnaires via email and phoneAssist with document collection and data entry into CRM systemsLiaise with participants to clarify missing or incomplete information3.
NIAA Forms & CRM EntryPrepare and submit NIAA Form 1 documentationEnter relevant participant and program data into the CRM systemPrepare Forms 2–4 to support invoicing processesFollow up with program staff to ensure timely and complete data submissionMaintain organised records for reporting and audit purposes4.
General Finance Admin SupportCollate and file supporting documents for accounting and invoicingAssist with payment runs or invoice processing as neededDraft and distribute standard finance-related communicationsMaintain orderly digital filing systems to ensure audit-readiness5.
Leave & Absence CoverageProvide continuity of key admin tasks when finance staff are unavailableMonitor shared inboxes and escalate urgent issues where requiredGeneral Duties:Contribute to the continuous improvement of Worldview Foundation's systems and processes.Support delivery of new projects and business initiatives.Comply with all HSEQ company policies and processes.Work with a range of individuals from skilled technicians through to disadvantaged individuals.Skills and KnowledgeExperience in an administrative or finance support roleCompetency in Microsoft Office (Excel, Word, Outlook) and financial/CRM systems (Xero, Zoho CRM)Strong organisational and time management skills, with the ability to manage multiple tasks.High attention to detail and accuracy in data entry and documentation.Good interpersonal skills with the ability to communicate effectively with Aboriginal and Torres Strait Islander peoples and diverse stakeholders.Demonstrated understanding of or willingness to learn about Aboriginal and Torres Strait Islander cultures and the issues affecting communities.Prior experience working in not-for-profit or community services organisation is highly desirable but not required.QualificationsA valid ACT Working with Vulnerable People Card, or ability to obtainA valid Police Check within the last 3 years, or ability to obtainCertificate or diploma in business administration, bookkeeping, or accounting (desirable but not essential).What we care about:RespectIntegrityPeoplePotentialTeamHolistic ThinkingAt Worldview Foundation, we know our team members are our greatest asset.
