We are seeking a highly experienced Senior Executive Assistant to serve as a strategic right hand to executive leadership across all companies.
Role Overview
The Senior Executive Assistant will provide high‐level administrative, operational, and strategic support across multiple businesses under the Zenith Group Holdings umbrella. This role goes far beyond traditional admin work—it requires discretion, exceptional organization, proactive problem‐solving, and the ability to manage complexity across multiple priorities, teams, and timelines.
This position is ideal for someone who thrives in fast‐paced environments, anticipates needs before they arise, and acts as a force multiplier for executives.
Key Responsibilities
Executive Support
* Manage complex calendars, scheduling and time prioritization across multiple companies
* Act as a gatekeeper and liaison between executives and internal/external stakeholders
* Prepare executives for meetings, presentations and travel with detailed briefings
* Handle confidential and sensitive information with the highest level of discretion
Cross‐Company Coordination
* Support operations across CMT Scanner, The Dent Academy and Hail Response Team
* Track priorities, deadlines and follow‐ups across leadership initiatives
* Coordinate communication between leadership and department heads
* Ensure alignment and execution of executive directives across companies
Operations & Project Support
* Assist with special projects, strategic initiatives and internal rollouts
* Track action items, KPIs and deliverables from leadership meetings
* Help streamline workflows, systems and internal processes
* Create and maintain SOPs, documents and internal reference materials
Communication & Documentation
* Draft emails, internal communications and executive correspondence
* Prepare presentations, reports and summaries for leadership use
* Organize and maintain digital files, contracts and records
* Represent executive leadership professionally with clients, partners and vendors
Travel & Logistics
* Coordinate domestic and international travel across companies
* Manage itineraries, accommodations and expense tracking
* Anticipate logistical needs for events, meetings and off‐sites
Qualifications
Required
* 5+ years of experience as an Executive Assistant or Senior Executive Assistant
* Experience supporting C‐level or founder‐led organizations
* Proven ability to manage multiple executives or business units simultaneously
* Exceptional organizational, communication and time‐management skills
* High level of discretion, professionalism and trustworthiness
* Strong proficiency with Google Workspace, Microsoft Office and collaboration tools
* Ability to operate independently and make sound judgment calls
Preferred
* Experience working in multi‐company or holding‐company environments
* Background in operations, project management or business administration
* Familiarity with CRM systems, project management tools or internal dashboards
* Experience in fast‐growth, entrepreneurial or automotive‐related businesses
