About the Role

The Administrative Officer / Customer Service role is integral to the successful coordination and delivery of our training programs and events. You will be responsible for supporting end-to-end course administration, maintaining high levels of customer service, and ensuring seamless coordination between participants, instructors, venues, and internal stakeholders.

This is a dynamic, detail-oriented position requiring strong organisational capability, initiative, and the ability to manage multiple priorities in a structured environment.

You will work closely with the administration and management team to plan, implement, and deliver courses across Australia in a timely and professional manner.

Key Responsibilities

Customer Service & Administration

* Manage participant enquiries, enrolments, transfers, and cancellations in accordance with company policies

* Provide high-quality customer support across phone, email, and digital platforms

* Maintain accurate course records, reporting, and documentation

* Assist participants with access to online learning systems

Course & Event Coordination

* Coordinate course logistics including scheduling, materials, and system setup

* Create and manage courses within the learning management and event systems

* Prepare and dispatch course materials for participants and instructors

* Collect and report feedback to support continuous improvement

Instructor & Stakeholder Coordination

* Arrange and coordinate instructor allocations and communicate course requirements

* Arrange instructor travel, accommodation, and logistics

* Maintain accurate instructor records and databases

* Liaise with internal teams to ensure equipment and resource availability

Venue & Logistics Management

* Source and book suitable training venues and catering services

* Ensure training environments are prepared and compliant with requirements

Financial Administration

* Process course-related invoicing and financial transactions

Systems & Compliance

* Maintain and update internal databases and systems

* Work across platforms including ARLO, Microsoft 365, Xero, and related tools

* Ensure compliance with organisational policies and procedures

About You

You are a highly organised and proactive professional who thrives in a structured, fast-paced environment. You bring a strong customer service mindset and enjoy coordinating multiple moving parts to deliver high-quality outcomes.

You will demonstrate:

* Strong interpersonal and communication skills

* Excellent organisational and time management capabilities

* High attention to detail and accuracy

* Ability to work both independently and within a small team

* Confidence in problem-solving and managing competing priorities

* A positive, professional approach and commitment to continuous improvement

Skills & Experience

* Experience in administration, customer service, or program coordination

* Demonstrated ability to manage systems, databases, or operational processes

* Proficiency in Microsoft Office and business systems

* Experience with training, events, or education environments (desirable)

* Experience with platforms such as Xero, CRM systems, or LMS tools (desirable)

* Certificate in Business Administration or similar (desirable)
