Administrative Officer (Disability Services Setting)

Knoxbrooke is a not-for-profit social enterprise and disability service provider supporting people with diverse abilities to thrive through employment, learning and community connection. We're currently seeking a part-time Administration Officer to join our Warragul team.
About the role
Working closely with the Support Options Manager and Living, Learning + Leisure Practice Leader, you'll provide high-quality administrative support to keep our Gippsland services running smoothly. Your days will be varied – from organising meetings, to maintaining client records, to managing client and staff expenses, ordering supplies and assisting with Occupational Health and Safety assessments for the sites.
* Preparing meeting agendas and minutes
* Following up on staff receipts and client expenses
* Managing banking and purchasing of consumables and stationery
* Coordinating accommodation, bookings and materials for conferences and staff events
* Maintaining attendance lists, records and registers
* Assisting with organising quotes / tradespeople for building maintenance as required
* Supporting quarterly Health and Safety checks across Gippsland sites
* Providing general administrative support to the Support Options Manager and Practice Leader
About you:
You're organised, reliable and enjoy keeping things running behind the scenes. Able to work well independently as well as part of a team, you take initiative, pay attention to detail and communicate clearly with people across all levels. You're comfortable juggling a range of tasks and always bring a helpful, can‑do attitude to your work.
You have proven experience in a recent, similar role and possess strong skills across the Microsoft office suite with the ability to quickly learn new systems and databases.
This is a permanent part‑time office‑based role of 45 hours per fortnight with our ideal hours for this position being 10am - 2.30pm Monday to Friday (with a fortnightly Wednesday being 11.30am - 4.00pm to accommodate a staff meeting). We are also open to these 22.5 hours per week being structured in a different way (however Wednesday 4pm finish once a fortnight is a requirement due to team meeting).
For this role we also require:
* Victorian drivers licence and own transport
* NDIS Worker Screening Check or ability to obtain one before commencing in the role
* Proof of at least 2 Covid 19 Vaccinations or a medical exemption
