ACCOUNTS & ADMINISTRATION OFFICER – ALL-ROUNDER ROLE IN MEDICAL DEVICE INDUSTRY

We are now seeking an experienced and adaptable Accounts & Administration Officer to join our friendly, modern office in Joondalup. This is a hands-on, varied role where no two days are the same, perfect for someone who enjoys both numbers and people.

About the RoleIn this diverse position, you will be responsible for a mix of accounts receivable, accounts payable, and administrative duties. You will work closely with customers, sales representatives, and internal teams to keep financial processes accurate and efficient while maintaining a high level of service.

Please note that this role will initially start as a six (6) month contract.

Key Responsibilities

* Monitor accounts receivable ledger to identify outstanding debtors and prepare regular reports on aging accounts and collection progress.
* Contact customers via phone, email, and mail to follow up on overdue payments, negotiating payment plans or settlements in line with company guidelines and manager approval.
* Process and allocate customer payments (including bank deposits, Stripe payments, and telephonic transactions) accurately and promptly.
* Generate and send invoices, credit notes, account statements, and payment reminders as required.
* Maintain accurate, up-to-date records of collection activities and customer interactions, investigating and resolving billing discrepancies and disputes.
* Perform customer credit checks when setting up new accounts and ensure accurate account creation.
* Collaborate with internal departments such as sales and customer service to resolve account issues.
* Capture and process purchase invoices, reconcile major vendor accounts, and process staff expense claims.
* Assist accounts receivable colleagues with payment collections as required.
* Action shared email inboxes daily, ensuring prompt and professional communication.
* Prepare finance-related reports, and provide general administrative support to the finance team.

What You'll Bring

* Experience in accounts receivable, accounts payable, or general accounting.
* Strong attention to detail and accuracy in data entry, reconciliations, and reporting.
* Excellent verbal and written communication skills with confidence making and receiving calls daily.
* Proficiency in Microsoft Excel; experience with Odoo ERP is highly regarded (or ability to learn quickly).
* Sound problem-solving skills and the ability to work independently while being a supportive team player.
