ROCKHAMPTON GIRLS GRAMMAR SCHOOL – RECEPTIONIST
Rockhampton Girls Grammar School is seeking a friendly and organised Receptionist to join our team in a casual role, commencing January 2026. This position offers a strong possibility of transitioning into an ongoing role.
Position Details
* 2 days per week during term time
* Thursdays and Fridays
* 8:00 am – 4:06 pm
This is a job‑share position. While the majority of days are set, we value flexibility and may ask you to adjust your days or cover during school holiday periods.
Position Objective
The Receptionist is the first point of contact for students, parents, visitors, and staff, representing the school with professionalism, warmth, and care. The role provides high‑quality front‑of‑house service, administrative support, and effective coordination of communications to ensure the smooth daily operation of the administration.
Key Responsibilities
Front of House and Customer Service
* Answer incoming telephone calls in a pleasant, informed, and professional manner.
* Greet and assist visitors, contractors, students, and parents.
* Respond promptly to student and parent needs or refer to appropriate staff.
* Manage visitor sign‑in/out process and maintain accurate records.
* Forward enquiries, requests for information, and messages to relevant staff in a timely manner.
* Maintain the reception area in a professional, organised, and welcoming manner.
* Uphold confidentiality and discretion in all communications.
Administrative Support and Coordination
* Perform clerical and administrative tasks including data entry, word processing, photocopying, document preparation, and filing.
* Manage mail and email – receive, sort, and distribute correspondence.
* Receive and record payments made at Reception in accordance with finance procedures.
* Assist with student absence records and SMS notifications in The Alpha School System (TASS).
* Perform data entry, retrieval, and reporting tasks using TASS.
* Support teaching and administrative staff with organisational matters as needed.
* Assist transport and facilities personnel with bus run communication.
* Collaborate in preparation and distribution of student mail‑outs.
* Locate students during the school day using TASS.
* Provide backup support to other Administration team members as required.
* Maintain and reorder stationery stock.
* Manage record retention, storage and disposal.
* Administer loan and return of school keys.
* Create and publish school newsletters.
* Assist Human Resources with staff onboarding and off‑boarding.
Communication and Enrolment Support
* Refer all enrolment‑related queries to the Enrolments Officer promptly.
* Support communication between parents, students, and staff professionally.
* Assist with coordination of appointments, meetings, and bookings as directed.
* Contribute to internal communications such as bulletins, notices, and updates.
Health, Safety, and Compliance
* Follow all school policies and procedures, including Child Protection, WHS, Privacy, and Confidentiality.
* Maintain awareness of emergency and evacuation procedures and assist during drills or incidents.
* Report safety, maintenance, or security concerns promptly.
Other Duties
* Promote the interests of the school.
* Attend professional development and staff meetings as required.
* Serve the school diligently and faithfully.
* Perform any other duties reasonably directed by the Marketing and Events Manager, Business Manager, and/or Principal.
Essential Competencies
* Excellent interpersonal and problem‑solving skills; ability to liaise with staff, students, parents, and visitors.
* Strong communication skills and ability to explain concepts clearly.
* High level of professionalism, patience, and a positive attitude.
* Excellent computer literacy: advanced Microsoft Office (Word, Excel, Outlook).
* Experience using TASS or ability to learn quickly.
* Strong organisational and time‑management skills.
* Ability to work autonomously and collaboratively.
* High attention to detail and accuracy in data entry and record keeping.
* Discretion, judgement, and respect for confidentiality.
Mandatory Requirements
* Possess a current Blue Card from the Commission for Children and Young People and/or Child Guardian or ability to obtain one.
* Hold a current driver's licence.
