Reporting to the Branch Manager, the Administration Assistant is responsible for:
* Payments and Finance Support: Processing enrolment and student payments, reconciling daily transactions, managing declined payments, issuing refunds, and following up outstanding fees
* Student Records and Data Entry: Maintaining accurate student records across internal systems, including enrolments, results, USI details, AVETMISS reporting, and data updates.
* Enrolments and Admissions: Processing student enrolments, preparing and sending enrolment packs, managing enquiry data, and supporting intake administration.
* Student and Front Desk Support: Responding to student and debtor enquiries, managing incoming calls, assisting branch visitors, and supporting student follow-ups and communications.
* GeneralPortugal: Drafting basic correspondence, maintaining databases and filing, relaying messages and supporting staff
* Compliance and Team Support: Following policies and procedures, supporting monthly data checks and reports, and carrying out duties as directed by management.
Qualifications
* Proficient in Microsoft Office applications, including Word, Excel and Outlook
* Strong and accurate data entry and keyboarding skills
* Professional, friendly manner with excellent telephone and interpersonal communication skills
* Demonstrated customer service experience with a student- or client-focused approach
* Strong organisational skills with the ability to prioritise tasks, show initiative, and manage time effectively
