Dripstone Children's Centre is a vibrant 84-place, community-run childcare centre based in the leafy northern suburb of Brinkin. We believe that our role far exceeds that of Education and Care for children birth to school age. We believe that if we are to raise a generation of children who will do a better job of caring for the planet than we have done then we must do things differently and support children to become environmentally responsible citizens. Primary Objective:
Under the direction of the Director, assist in the day-to-day operations of Dripstone Children's Centre through:
* Maintaining a welcoming, organised and efficient reception environment to effectively and sensitively respond to the needs and enquiries of families, community members and other stakeholders
* The provision of administrative support including record keeping and basic financial management
* Facilitating communication and engagement with families and the community through reception duties, preparing monthly newsletters, and social media and website updates
* Managing and overseeing facility and grounds care and maintenance
* Providing business development support to the Director and Parent Management Committee
* Ad Hoc tasks as they arise
Key Duties and Responsibilities:
1. Creating a welcoming environment- Creating a welcoming, organised and efficient reception environment to effectively and sensitively respond to the needs and enquiries of families, community members and other stakeholders, in line with Dripstone's community-minded culture.
2. Administrative support- Provide administrative support under direction of the Director, including:
3. Maintenance of confidential staff, child and family records (physical and electronic) in line with relevant regulations and legislation
4. Monitoring and assisting in maintaining occupancy targets
5. Utilising Microsoft word applications and industry-specific software packages for preparation of text documents, spreadsheets, graphics, and web page content
6. Maintaining accurate and organised payroll and accounting records using MYOB to support timely provision of information as required by our accountant, Director and parent management committee
7. Management and monitoring of child care fees using OWNA software, including ensuring accounts are up to date and that Dripstone's fee income and attendance reporting requirements are fulfilled in accordance with requirements of relevant Commonwealth Government agencies
8. Purchasing and payment of approved accounts
9. Communications- Manage Dripstone's internal and external communications including social media accounts and website and other communication with families and the community as required by the Director.
10. Maintenance- Assisting with the maintenance of centre buildings/grounds/animals, under the direction of the director, including liaising with trade people, seeking quotes from local suppliers, and purchasing.
11. NQF compliance- Assist with fulfilling centre-wide compliance with relevant National Quality Framework and Early Years Learning Framework reporting requirements and relevant legislative frameworks, and assist with monitoring and maintaining centre facilities in line with Northern Territory Department of Education and WorkSafe standards and relevant legislation.
Selection Criteria
Essential:
1. Excellent organisational and administrative skills, with proven experience in office management and customer service, ensuring attention to detail and accuracy of documentation and records.
2. Excellent written and oral communication skills.
3. The ability to work independently and within a team environment, including proven ability and self-motivation to take initiative to solve problems.
4. Demonstrated experience in implementing the principles of financial and business management.
5. Proven ability to organise, prioritise and manage individual and organisational workloads within required deadlines.
6. Excellent interpersonal skills in order to provide effective liaison between staff, families, the Director and parent management committee, with the ability to maintain confidentiality and discern sensitive issues.
7. Demonstrated ability to interact effectively with people of different cultures.
Desirable:
1. Substantial knowledge of Occupational Health and Safety Standards, National Quality Framework policies and legislative obligations associated with a community based childcare centre.
2. Qualifications in Children's Services, progress towards and/or willingness to undertake related studies
3. Experience in social media account management and website maintenance.
4. Qualifications in Administration or Business
5. Awareness and/or experience with regulatory requirements under the National Quality Framework (NQF)
6. Current Senior First Aid, Asthma and Anaphylaxis Certificates
