Salary: $60,725 - $76,108 per annum (pro rata) plus superannuation
The opportunity:
We are seeking an Administrative Assistant in part time capacity to join the small, dynamic SAEFVIC clinical team based onsite at The Royal Children's Hospital.
Reporting to the Clinical Manager and Director of SAEFVIC, this role provides essential administrative support to the SAEFVIC team and the National Immunisation Program (NIP), including AEFI reporting and coordination of specialist immunisation clinics.
Part-time: 15.2 hours per week
Workdays: Monday/Tuesday, or flexibility to spread hours across three days
Maximum term: 12 months, with potential extension subject to funding
About your new team
SAEFVIC (Surveillance of Adverse Events Following Vaccination in the Community) is an integrated clinical and vaccine safety surveillance unit. It serves as the central Victorian reporting service for adverse events following immunisation (AEFI) in both children and adults.
SAEFVIC is a collaboration between the Victorian Department of Health, MCRI, The Royal Children's Hospital and Monash Medical Centre.
What you'll do
Respond to phone and email enquiries promptly and professionally
Assist with SAFEVAC online reporting and other data entry as required
Support planning and coordination of weekly Specialist Immunisation Clinics
Schedule and reschedule patient appointments
Enter and maintain data in research databases (e.g. REDCap)
Ensure compliance with data entry, filing and documentation procedures
Provide general office and administrative support
What you'll bring
Excellent customer service skills
Intermediate proficiency in Microsoft Office and teleconferencing applications
Ability to triage and respond to telephone enquiries
Demonstrated ability to handle sensitive and confidential information
Strong time management skills with the ability to multitask
High attention to detail
Excellent written and verbal communication skills
Experience as a ward clerk or in medical/allied health reception is highly desired
Understanding of medical terminology is advantageous
