As our buyer's agency scales, we're looking for an Operations Manager & Client Concierge to own the operational engine and client experience across our residential engagements.

The Role


This is not a sales role and not a junior admin position.

This role exists to run the operations and client delivery engine of our buyer's agency once a client engages Property Partners.

You will own the end-to-end client experience — from onboarding, through transaction coordination, to settlement and post-settlement care — ensuring every engagement is delivered cleanly, compliantly, and professionally.

You'll work closely with Buyer Agents and external stakeholders (selling agents, solicitors, brokers, accountants), acting as the operational backbone of our buyer's agency model.

This role suits someone who values ownership, structure, follow-through, and excellence.

What You'll Be Doing



Client Ownership & Onboarding

* Own client onboarding once engagements are signed
* Act as the primary point of contact throughout the engagement
* Clearly guide clients through each stage of the Property Partners process


Operations, Documentation & Compliance

* Coordinate buyer's agency documentation, authorities, and disclosures
* Maintain accurate, complete, and audit-ready CRM and file records
* Ensure workflows meet internal and regulatory standards


Transaction & Settlement Coordination

* Coordinate residential transactions from accepted offer through to settlement
* Liaise confidently with selling agents, solicitors, brokers, and clients
* Track milestones, follow up outstanding items, and keep deals moving


Workflow & POD Support

* Remove administrative friction so Buyer Agents can focus on strategy
* Maintain visibility of active engagements and deal stages
* Support internal reporting and workflow clarity


Client Experience & Improvement

* Ensure clients feel informed, supported, and confident at every stage
* Coordinate post-settlement communication and feedback
* Identify opportunities to improve systems, processes, and client experience

About You


You are:

* Highly organised with exceptional attention to detail
* Calm, professional, and confident in client-facing communication
* Naturally process-driven and reliable
* Comfortable managing multiple stakeholders and deadlines
* Someone who takes ownership and finishes what they start

Experience in real estate, conveyancing, buyer's agency, legal, finance, or professional services is highly regarded — but mindset, capability, and cultural alignment matter most.

This role is not suited to:

* Entry-level administrators
* Candidates seeking a purely lifestyle or fully remote role
* People who prefer task execution without accountability

Following a structured onboarding period, this role operates on a 3 days in-office (Kingscliff) / 2 days work-from-home model, aligned to client and team needs.
