Client support officer, health & wellbeing (part-time)

Role Overview

As the Client Support Officer, you will provide administrative support for our Ambulance Tasmania and Department of Police, Fire and Emergency Management's Health and Wellbeing Program, MyPulse. The role is part‐time, reports to the Manager Early Intervention, and provides exposure to various aspects of the business while playing a pivotal part in delivering community‐focused initiatives.

Key Responsibilities

* Administer the MyPulse content management system, including data maintenance and reporting, inbox monitoring, enquiries handling, invoice processing and appointment scheduling.
* Provide professional, customer‐focused service, handling sensitive matters in a confidential, diplomatic and professional manner to all internal and external stakeholders.
* Undertake contract administration, risk and action registers, meeting and audit administration.
* Book venues, organize catering, coordinate presenters (including follow‐up and flow of day), organise resources, support preparation of presentations, and source merchandise.
* Arrange strategic management meetings, including preparation of agenda and minutes.
* Process invoices and expenses, including staff regional travel, catering, supplies and other related costs.

Candidate Requirements

* Previous experience in an administrative support or similar role.
* Proficiency in Microsoft Excel and PowerBI, with the ability to analyse and manipulate data effectively.
* Strong customer service skills.
* Exceptional time management and organisational skills.
* Highly developed communication skills, with the ability to engage and influence at all levels of the organisation.
* A strategic mindset and approach to work.
* A strong sense of team collaboration.
* Resilient and flexible, able to work in a dynamic and fast‐paced environment.
