The Role
We are currently seeking a full-time Administration Officer to join our Commercial Services team. This position is part of the Commercial Services Team and is responsible for the administration tasks related to the delivery of Ecovantage's certificate creation and professional services. The role ensures an organized and smooth experience for prospective, new and existing clients, providing administrative support, ensuring documentation is accurate and compliant, and handling enquiries from both internal and external stakeholders. Administrative Officer handles inbound enquiries from prospective clients, which are then assigned to the appropriate internal personnel. The role will be based in one of our offices in North Sydney (NSW), Maroochydore (QLD) or Adelaide (SA) and will report directly to the General Manager based in Maroochydore.
What You'll Do
* Provide comprehensive, accurate, and timely administrative support, ensuring confidentiality is maintained. Contribute to research and compilation of documents, reports and submissions.
* Maintain data and records within Ecovantage's CRM to allow for accurate and live reporting within the system.
* Perform data entry at ad hoc and defined intervals to support routine business processes.
* Assist clients by providing timely responses to compliance queries on request, and help smooth the processing of certificate projects.
* Answer incoming phone calls from prospective partners, provide preliminary information, and collect their company details prior to assigning them to an Account Manager.
* Handle onboarding of new companies and maintain contractor document records.
What We're Looking For
* Experience with a previous Accredited Certificate Provider (ACP) is encouraged.
* More than 2 years of experience in a similar administrative role.
* Broad product knowledge of energy efficiency products and renewable energy products, highly desirable.
* Experience creating process maps, writing documentation and document control.
* Strong computer competency, including intermediate Microsoft Office skills, especially Microsoft Excel or Google Documents.
* Initiative, problem‑solving and autonomous work skills.
* Excellent multitasking ability.
* Customer‑service skills and practices.
* Strong written and verbal communication skills displayed with confidence.
* High attention to detail and a proactive work approach.
