Facilities Coordinator – Full Time
Pines Living is currently seeking a Full‐Time Facilities Coordinator to join our team at our residential aged care facility in Farrer, ACT.

Qualifications & Experience
* Previous experience working in Residential Aged Care
* Strong organisational skills with the ability to manage multiple tasks and projects simultaneously
* Excellent verbal and written communication skills to engage effectively with residents, staff, and contractors
* Ability to work independently and collaboratively within a team environment
* High attention to detail with a commitment to quality outcomes
* Strong problem‐solving skills to address maintenance and operational issues
* Knowledge of relevant maintenance, safety, and compliance regulations
* Customer service‐focused mindset with a commitment to resident wellbeing
* Flexibility and adaptability to respond to changing priorities and emergencies
* Proficiency in using maintenance tools and equipment (e.g. carpentry tools, painting supplies, power tools)

Key Responsibilities
* Coordinate suppliers and contractors, including:
o Ensuring completion of Contractor Preventative Maintenance Schedules
o Reviewing and renewing contractor service agreements
o Monitoring contractor cost performance
o Reviewing contractor insurances, police checks, WWVP, and compliance documentation
o Maintaining contractor and supplier registers
* Coordinate new and special projects, including quotations and financial approvals
* Perform hands‐on maintenance within the scope of qualifications and experience
* Ensure facility compliance with WHS, environmental, and legislative requirements
* Manage stock and equipment ordering (e.g. cleaning products, aged care equipment)
* Identify opportunities for innovation, capital improvements, and facility enhancements
* Coordinate maintenance of ICT systems, including security, CCTV, access control, air‐conditioning, and CBUS lighting systems
* Identify environmental improvements to enhance resident wellbeing
* Maintain weekly minutes as required by the Facilities Coordinator role
* Maintain the Facility Risk Register and MSDS Register
* Complete facilities reporting requirements in line with Aged Care Standards
* Assist with emergency management, including emergency responses and escalation plans
* Develop and review policies and procedures to improve facility performance
* Maintain senior‐level reporting and engagement through regular team meetings
* Ensure preventative maintenance schedules are completed within established timelines
* Conduct WHS and environmental audits as required
Working Hours
Full‐time position: Monday to Friday, 9:00 am – 5:00 pm.
