Position Overview
Clearworld Cleaning Services is a well-established and growing commercial cleaning company. We are seeking a highly organised, proactive Receptionist / Administrator to support daily operations, including consumable management, cleaner coordination, warehouse supervision, and general office administration.
This role requires strong attention to detail, the ability to manage multiple responsibilities, and confidence working in a fast-paced operational environment.
Key Responsibilities
1. Consumable Management
* Conduct stocktakes at the end of each delivery and arrange consumable orders as required.
* Organise monthly consumable delivery runs, including confirming approved sites.
* Monitor and supervise the Warehouse Assistant, assigning tasks as directed by the General Manager.
* Monitor consumables email inbox and WhatsApp groups.
* Ensure all consumable requests from cleaners are actioned promptly.
* Allocate consumables and coordinate collection or delivery through the Warehouse Assistant.
* Monitor van loading on delivery days.
* Conduct regular warehouse inspections to ensure cleanliness, organisation, and compliance.
2. Managing Cleaners & ConnecTeam
* Maintain and monitor the site key register.
* Ensure all new cleaners receive Clearworld uniforms.
* Monitor stock levels of Clearworld T-shirts and hoodies and arrange orders when required.
* Prepare and send the daily ConnecTeam report each morning.
* Follow up with cleaners who have not logged into ConnecTeam to confirm cleaning completion.
3. Administration & Support
* Ensure new site checklists are completed prior to site commencement.
* Monitor email inboxes to ensure bills are printed and direct debit notices are tracked.
* Review credit card statements on a monthly basis.
* Provide administrative support to admin staff as required.
* Report directly to the General Manager – Clearworld Cleaning Services.
4. Office Operations
* Answer all incoming phone calls professionally.
* Monitor and respond to general email enquiries.
* Ensure the reception area is clean and tidy.
* Maintain stock levels in the tea room and printer room.
* Organise company functions and staff gatherings.
* Check office letterboxes every Monday and Thursday.
* Maintain vehicle files and arrange vehicle servicing when required.
* Ensure bins are placed out for collection on scheduled JJ Richards pickup days.
* Monitor cleaning standards of office and warehouse areas, including weekly detailed cleaning.
Warehouse Assistant – Supervision Responsibility
The Receptionist / Administrator will work closely with and oversee the Warehouse Assistant, who is responsible for:
* Full warehouse stock management and reporting.
* Warehouse cleanliness, organisation, and compliance.
* Vehicle cleanliness, checks, and equipment management.
* Consumable deliveries, including van loading and unloading.
* Office and warehouse cleaning support.
* Reporting to the General Manager.
Skills & Experience Required
* Previous experience in reception, administration, or operations (preferred).
* Strong organisational and time management skills.
* Excellent communication skills (phone, email, WhatsApp).
* Ability to manage multiple tasks while following structured processes.
* Confidence using systems such as ConnecTeam and Microsoft Office (training provided).
* High attention to detail, accountability, and reliability.

Job Type: Full-time
Pay: $49,900.00 – $82,165.60 per year
