Position purpose
The Administration Officer provides high-quality front office and administrative support to ensure the safe, efficient and welcoming operation of Sacred Heart Catholic Primary School. The role is the first point of contact for families, visitors and stakeholders, provides PA/administrative support to the principal, supports enrolment administration processes, and assists with school communications and marketing activities.
Key responsibilities and duties
1) Catholic ethos, student safety and professionalism
Provide a safe and secure environment for all students and maintain a strong personal commitment to upholding the Catholic ethos and mission of Sacred Heart Catholic Primary School.
Model professional conduct aligned to school expectations, child safety requirements and confidentiality obligations.
2) Front office, reception and daily school operations
Provide a professional and friendly first point of contact for students, families and visitors, including monitoring daily arrivals and departures.
Use a high level of initiative to receive, respond, triage, direct and—where required—diffuse a range of enquiries in person, by phone and via email.
Perform reception duties including filing, archiving, and responding/directing incoming communications from school stakeholders.
Coordinate incoming and outgoing mail, including collation and distribution of student reports, permission forms and school correspondence.
Support daily operations through management of school bells, SMS, push notifications and PA announcements.
Maintain front office presentation and undertake administration-area housekeeping; order and maintain office supplies and consumables.
3) Student administration and attendance
Accurately manage student attendance records and reporting, and communicate effectively with staff and parents/guardians regarding attendance matters, as required.
Maintain accurate records and support administration processes that contribute to student wellbeing and operational compliance.
Support the annual Census process, including data collection, validation and submission.
4) PA support to the Principal
Provide administrative and PA support to the Principal, including diary/meeting support, correspondence coordination, preparation of documents and confidential handling of sensitive matters as required (within role scope).
Provide administration support to the School Leadership Team, as requested.
5) Enrolments administration
Support enrolment administration processes including managing enquiries, distributing information, coordinating documentation, scheduling enrolment meetings/tours (as required), and maintaining accurate enrolment records in approved systems.
Provide timely communication to prospective and enrolling families and ensure records are complete and appropriately filed/stored.
6) Marketing, communications and publications
Collate, format and publish the school newsletter and other publications as required.
Assist with marketing and community communications, including promoting school events, key dates and enrolment messaging through approved platforms and templates (in alignment with Catholic Education NT and school requirements).
Provide basic first aid and sick bay services consistent with training, school procedures and parent communication protocols.
Administration medication/ Asthma Puff on required Students.
8) Events and broader team support
Liaise with staff to support school operations and service delivery.
Support the school with major events, including occasional work outside regular hours (as required).
Undertake other duties as directed by the Business Manager or Principal.
Selection criteria
Current Northern Territory Working with Children Clearance (Ochre Card) .
Demonstrated understanding of the ethos and mission of a Catholic school and a commitment to supporting it.
High level interpersonal skills with the ability to communicate appropriately, effectively and professionally with a diverse range of stakeholders.
Highly developed organisation and time management skills with the ability to manage competing priorities.
High level written and oral communication skills (including professional phone and email communication).
Demonstrated ability to maintain confidentiality, build trust and handle sensitive information appropriately.
Experience using Microsoft Word and Excel, and tools such as Canva, with the capacity to learn school systems including CES and SEQTA .
Ability to work in accordance with school, system and jurisdiction policy, processes and legislation.
Desirable / Required for the role
Current First Aid certification, or willingness to acquire First Aid, Anaphylaxis and Asthma certification.
Screening requirement
The appointment of the successful applicant will be subject to satisfactory employment screening in accordance with legislation and school/system requirements. This position requires clearance for child-related employment.
