Responsibilities
* Provide administrative support to the Facilities Manager, ensuring timely and accurate documentation and reporting.
* Manage maintenance schedules and coordinate reactive works with contractors and service providers.
* Maintain up-to-date records of building documentation, compliance certificates, and contractor information.
* Assist with the preparation of emergency response plans and safety documentation.
* Monitor contractor performance and ensure adherence to service agreements.
* Liaise with tenants, suppliers, and internal stakeholders to address enquiries and coordinate services.
* Support procurement processes including raising purchase orders, tracking invoices, and assisting with budget preparation.
* Help coordinate inspections, audits, and compliance activities in line with local regulations.
Qualifications
* Previous experience in an administrative or coordination role, ideally within facilities, property, or retail.
* Knowledge of building operations or safety compliance (advantageous but not essential).
* Strong organisational skills and attention to detail.
* Excellent communication and interpersonal abilities.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Ability to manage multiple priorities and meet deadlines.
* A proactive, flexible, and team-oriented approach.
