The position will have the following job duties & responsibilities:

Responsibilities:

Reception / Front desk handling:

* Act as the first point of contact for students and visitors.
* Handle incoming calls, emails, and walk-in inquiries in a professional manner.
* Manage front office operations including visitor registration, appointments, and student queries.
* Maintain records of student attendance, appointments, and general inquiries
* Ensure reception area is neat & tidy at all times

Student Enrolments, support & administration:

* Processing new student enrolments
* Provide guidance to prospective and current students on academic programs, admission requirements, and career pathways.
* Assessing new enrolments > GTE, SOP, accompanying documents
* Confirm, advise, follow up student details with overseas and onshore agents / student recruitment companies
* Issuing Offer Letter > CoE, Invoice to agents / students
* Processing payments & missing information from agents / students
* Updating records in FileMaker (Student management system) & PRISMS
* Process deferrals > postponements > enrolment cancellations etc.
* Processing OHSC cover for students where required
* Organizing & managing homestays for students
* Managing Homestay providers database and relationships
* Class allocations for new students & receiving and inducting students on their first day
* Monitoring student attendance with coordination with teaching staff & DOS
* Carry out tasks assigned time to time by management & DOS
* Create, update & maintain all documentation from time to time (Procedure manuals, process documents etc.)

Agent engagement & marketing:

* Maintain close relations with assigned agents
* Sending promotional flyers, information and fee structure from time to time
* Keeping agents updated on new offers & changes to fee structure if any
* Close monitoring of agents performance > reaching out to them to follow up enrollments
* Correspondence with onshore & overseas agents on ongoing issues

Skills and Competencies:

* Strong communication and interpersonal skills.
* Customer service orientation with a student-first approach.
* Ability to handle sensitive and confidential information.
* Organizational and multitasking skills.
* Proficiency in MS Office (Word, Excel, PowerPoint) and student management system like FileMaker.
* Problem-solving ability and cultural sensitivity (especially when working with international students)

Qualifications:

* Preferably Bachelor's degree in Education, Psychology, Business Administration, or related field.
* Prior experience in student counselling, admissions, or customer service (preferred).
* Fluency in English (additional languages are an advantage(Chinese, Korea etc.).
