We're looking for a proactive, reliable, and highly professional Senior Executive Assistant to join our team and play a pivotal role in supporting our Chief Executive Officer.
About the Role
As Senior Executive Assistant, you'll be the CEO's trusted right hand, providing high-level administrative and strategic support with precision and professionalism. You'll be a key liaison internally and externally, ensuring seamless operations and protecting the CEO's time, priorities, and commitments.
You'll work closely with senior leadership, facilitate clear communication across teams, and contribute to the success of company-wide initiatives.
Key Responsibilities
Manage complex calendars, travel arrangements, and meeting logistics
Coordinate meetings, prepare agendas, record minutes, and ensure follow-up on action items
Anticipate needs, identify risks, and proactively resolve scheduling or operational challenges
Maintain strict confidentiality and exercise sound judgment and discretion in all matters
Act as a trusted advisor, gatekeeper, and communications liaison for the CEO
Draft, review, and manage high-quality correspondence, briefing materials, reports, and presentations
Liaise with internal stakeholders, government agencies, and external partners to coordinate engagement
Support strategic administrative and cross-functional projects as needed
Track and manage performance metrics and strategic milestones, ensuring timely delivery of outcomes
Ensure alignment between executive decisions and operational execution
Foster collaboration across departments and manage complex information flows
Ideal Candidate
10+ years of executive-level support experience, preferably supporting C-suite leaders
Ability to obtain and maintain a Baseline Security Clearance
Impeccable organizational, prioritization, and multitasking skills—calm under pressure
Exceptional written and verbal communication skills, with strong emotional intelligence
Highly professional interpersonal skills and the ability to build trusted relationships at all levels
Strong analytical and problem-solving abilities with a proactive mindset
Discreet and reliable in handling highly confidential matters with integrity and professionalism
Proficient in Microsoft Office Suite, document management systems, and modern collaboration tools (e.g. Teams, SharePoint, Slack)
Experience in coordinating with government agencies or highly regulated sectors (desirable)
Flexible and adaptable to changing priorities in a dynamic environment
