Intake and Admin Officer - First Nations Position

Gallang Place Aboriginal and Torres Strait Islander Corporation is a not-for-profit, community-controlled organisation with over 30 years' experience supporting the healing journeys of First Nations peoples.
We provide culturally safe, trauma-informed counselling, healing programs, and wellbeing services to individuals and families impacted by intergenerational trauma.
About Your Role
We are seeking a motivated and organised Intake and Admin Officer to join our team in Townsville. This is an Identified role for a person passionate about supporting the wellbeing of our Community through professional, culturally safe administrative support.
The Intake and Admin Officer will work closely with the Healing Hub Manager and counselling team to ensure the smooth running of the Hub, supporting intake and referral processes, managing client data, coordinating appointments, and providing general office administration.
Key Responsibilities
* Provide intake and reception support for clients, referrals, and enquiries
* Coordinate the intake process for new referrals, including data entry, client records, and scheduling
* Support the Healing Hub Manager with day-to-day office operations and administration tasks
* Liaise with clients, families, and other agencies to ensure smooth referral pathways
* Maintain accurate records, registers, and filing systems in line with organisational policies
* Assist with reporting requirements by collating intake and client service data
* Provide administrative support to the Healing Hub team, including scheduling meetings, travel, and training sessions
* Support the upkeep and presentation of the office environment
* Uphold confidentiality and cultural protocols in all communications and documentation
What You'll Bring to the Role
We're looking for someone who is community-minded, reliable, and proactive, with strong organisational skills and a commitment to cultural safety.
You will bring:
* Experience in administration, client intake, or similar roles within community services
* Understanding of and ability to work respectfully with Aboriginal and Torres Strait Islander peoples, families, and communities
* Strong communication skills with the ability to interact effectively with clients and service providers
* Competency in Microsoft Office (Word, Excel) and experience with client record systems
* Excellent organisational skills and attention to detail
* Ability to manage competing priorities and meet deadlines
* A collaborative team approach, with the ability to also work independently
* Minimum 2 years' experience in an intake, administration, or client services role
* Certificate IV in Business Administration, Community Services, or Mental Health (or willingness to complete)
* Experience in a not-for-profit or First Nations community-controlled organisation
* Current Blue Card (Working with Children Check) or ability to obtain prior to commencement
* Current Driver's Licence
* Ability to work as part of a multidisciplinary team
* Commitment to ongoing professional development
