About the Role
The Hotel Sales Coordinator provides administrative and operational support to the Sales team, ensuring efficient coordination of group bookings and events. This role serves as a liaison between clients and hotel departments, managing logistics to meet client expectations and revenue goals.
Key Responsibilities Sales and Administrative Support
* Assist with administrative tasks including preparing proposals, contracts, and reports.
* Maintain and update client databases with accurate records of inquiries, bookings, and follow‐ups.
* Support the identification of new corporate, events and group sales opportunities.
* Organise sales calls, site inspections, and client meetings.
* Prepare client communication and sales materials for group bookings and inquiries.
* Ensure accurate records in sales databases and hotel systems.
* Assist in the preparation of reports, presentations, and promotional materials.
* Liaise with Group Reservation Coordinator to manage corporate and leisure group inquiries.
* Support the sales team with group proposals and contracts.
* Coordinate the handover of signed contracts to the Group Reservation Coordinator and ensure all client requirements are met, including rooming lists, special requests and billing arrangements.
* Serve as the primary point of contact for group inquiries and post‐group departure survey and follow‐up for future opportunities or repeat businesses.
* Collaborate with departments such as Front Office, Housekeeping, and Food & Beverage to deliver seamless service.
Event Management
* Work with the events team to ensure group‐related events meet client expectations.
* Support the Meetings & Events Manager in managing event order, event logistics, including room setups, AV needs, and catering.
* Address last‐minute client requests or operational challenges during events.
Client Relationship Management
* Build and maintain relationships with group clients to foster loyalty and repeat business.
* Provide timely responses to client queries and concerns.
* Follow up post‐event to gather feedback and identify future opportunities.
Revenue and Inventory Management
* Monitor group booking inventory and collaborate with Revenue Management to optimize room allocations and pricing.
* Support revenue targets by securing group bookings and upselling services.
General Duties
* Stay informed about industry trends, competitor activities, and local market dynamics.
Skills & Experience
The ideal candidate will have:
* Experience in a sales or coordination role within hospitality, tourism, or events.
* Strong organisational skills and attention to detail.
* Proficiency in hotel management software (Opera, Delphi) and Microsoft Office Suite.
* Excellent written and verbal communication skills.
* Strong customer service and interpersonal skills.
* Knowledge of Melbourne's corporate and tourism market is desirable.
